Position Definition:
To plan, coordinate, develop, implement, and facilitate events for large-scale college-wide and community engagement ensuring smooth execution in alignment with the institution's mission.
Distinguishing Characteristics:
This professional expert is responsible for organizing and managing the daily operations of events, ensuring compliance with district and state guidelines, and collaborating with multiple departments to execute large-scale programs.
Examples of Duties/Essential Functions:
Duties may include, but are not limited to, the following:
* Plan and execute college events, including social and cultural gatherings, celebrations, and special activities. Coordinate logistics such as venue setup, technology needs, decorations, catering, and registration, guest parking, and staffing. Ensure accessibility of events. Provide oversight and serve as a point of contact leading up to and throughout the event, as necessary. Manage budgets and ensure cost-effective resource use. Prepare promotional materials and publicize events via social media, email, and flyers in coordination with Marketing and Communications. Collaborate with departments, vendors, and external partners; convene preparation meetings as needed. Evaluate event effectiveness and implement improvements. Train and oversee student assistants associated with events. Create, maintain, and implement a college cultural calendar developed in collaboration with affinity groups, learning communities, and broader college. Manage associated repository of event materials. Perform related duties as assigned.
Minimum Qualifications:
Education/Experience:
EXPERIENCE AND TRAININGAt least one year of the equivalent of full-time paid experience in event coordination, preferably in a college environment.Demonstrate understanding of, sensitivity to, and respect for the diverse academic, socio-economic, race, ethnicity, gender identity, sexual orientation, age, politics, philosophy, disability, and religious background of all students, faculty and staff.EDUCATION/LICENSE OR CERTIFICATEPossession of an Associate degree from an accredited college, such as business administration, marketing, or hospitality management is preferred, or equivalent.Possession of, or ability to obtain, an appropriate, valid California driver's license.Perform light physical labor, including lifting and moving items weighing up to 20 pounds.
