Job Summary
Reporting to the Business Administrator, the Program Assistant coordinates administrative processes for the Asian American Studies Program. This position provides comprehensive support to students, faculty, and current and prospective students. This position manages program finances and plans and coordinates special events and communication efforts. This position is eligible for a specified hybrid work schedule determined in collaboration with other staff involving some remote work, and more information about the schedule will be discussed during the interview.
This is a full-time position at 37.5 hours per week. The target hiring range for this position will be between $38,934 - $54,751 per year which is $19.89 - $27.97 per hour.
Specific Responsibilities:
* Provides in-person and online service and administrative support to faculty and staff;
* Serves as point of first contact for program, responding to a wide variety of questions and inquiries from faculty, students, prospective students, and visitors;
* Explains policies, procedures, schedules and program requirements to students and faculty;
* Provides administrative support to faculty, such as preparing documents and scheduling meetings;
* Maintains department files for faculty and students;
* Maintains website including creating new web pages and updating standard information;
* Designs, creates and edits other online or print publications publicizing the program and its events;
* Monitors and maintains budgets and accounts;
* Prepares requisitions and processes payments;
* Prepares reports, transfers, and reimbursements;
* Executes special analytical projects as requested;
* Coordinates activities related to undergraduate studies;
* Schedules courses, serving as liaison between registrar and students;
* Works closely with the Program Director to create a plan for the academic year course offerings;
* Plans and executes special events including planning travel and accommodations for visitors;
* Makes room reservations and catering arrangements;
* Publicizes events and sends invitations;
* Hires and supervises work-study students;

Performs other duties as assigned.
Minimum Qualifications:
* A bachelor's degree or the equivalent combination of experience, education and training from which comparable skills can be acquired
* At least four years of relevant administrative experience
* Strong computer skills including proficiency with Microsoft Word, Excel, Adobe, and a web-updating tool
* Strong interpersonal and communication skills including the ability to work with a diverse faculty and student population
* Excellent initiative, problem-solving skills and resourcefulness
* Ability to work independently as well as part of a team
* Strong writing, editing and proofreading skills
* Ability to prioritize independently based on a broad range of factors, with minimum guidance
Preferred Qualifications:
* Previous experience in a higher education environment.
* Background or interest in Asian American Studies or Ethnic Studies as well as ties to the Asian American community.
* Experience with PeopleSoft Financials software.
* Experience with design layout.
