  • Responsible for all data entry across in-house and contracted data systems including participant enrollment, worksite entry, and helping with entry of participant timesheets for payroll purposes.
  • Serve as a main point of contact for program participants.
  • Help in contacting program participants and worksites.
  • Assist SYEP team with recruitment, enrollment, orientation, co-facilitation of workshops, monitoring attendance logs
  • Ensure all participant files are up to date and in accordance with organizational and funding source requirements.
  • Maintain office efficiency by planning and implementing office systems, layout, and equipment procurement, maintain and replenish inventory, checking stock to determine inventory levels, and anticipate needed supplies.
  • Place purchase orders for supplies, equipment, and food
  • Maintain day-to-day office operations in collaboration with the Youth Workforce Director.
  • Create a strong sense of community which values respect, acceptance, and high expectations.
  • Evening and weekend work related to special events and meetings may be required.
  • Perform other related duties as required and/or assigned
QUALIFICATIONS
  • High School Diploma or HSE required and 2 years of experience working as a Program Assistant preferred.
  • Engaging consumer service personality and detailed orientated skills are essential.
  • Familiarity with the communities being served, with knowledge and understanding of local needs and resources is a plus.
  • Friendly, professional demeanor both in person and over the telephone.
  • Excellent communication skills, well-organized, and motivated.
  • Enthusiasm and respect for working with low-income adult population.
  • Knowledge of DYCD and/or ETO database is a plus.
  • Digital outreach background is a plus
  • Dresses in a manner appropriate to the position.
  • Interacts appropriately with participants, staff, volunteers, and the community.
  • Conducts himself or herself in a professional manner respecting co-workers and Youth participants.
  • Must be able to multi-task as well as change tasks based on the needs of the student participants who are present and the needs of the program (must be flexible).
  • Maintains confidentiality; have good time management & communication skills; have the ability to accept persons from differing backgrounds and economic situations; have patience; and basic Microsoft Office suite computer skills.
  • Provide clerical support by answering the telephone, photocopying, word processing, scoring test cards, preparing mailings and other duties as assigned.
  • Bi-lingual fluency and literacy in Spanish preferred
PHYSICAL REQUIREMENTS
  • Ability to use a computer for prolonged periods.
  • Ability to occasionally lift and/or move up to 10 pounds.
  • Ability to stand, walk, or sit for long periods of time.
  • Ability to climb five flights of stairs, if required to conduct home visits and/or fieldwork.
  • Ability to bend and retrieve objects and/or documents.
  • Ability to travel in the boroughs of New York City and its adjacent counties via public transportation.
  • Ability to travel for a minimum of 1 mile within a reasonable amount of time and in all types of weather, including inclement weather, if required to conduct home visits and/or field work.
