Program Assistant, Aspire Ohio Options for AdultsDepartment: Aspire, Ohio Options for AdultsLocation: College-Wide Reports To: Program Manager, Ohio Options for Adults Recruitment Type: External/Internal Requisition ID: req5541 Employment Type: Full-Time Support Staff Union Position: Non-Union Work Schedule: Standard College Hours: M-F, 8:30am-5pmNumber of Openings: 1 Job Description: SUMMARYPrimarily responsible for responding to student and program inquiries on behalf of the Aspire team. Provides support to the Aspire program and its participants. ESSENTIAL FUNCTIONS• Provides supportive assistance to the Aspire team• Manages the day to day office activities of respective campus• Maintains accurate program records and responsible for inputting records into program's database in a timely fashion• Schedules classrooms, facilities, and workshop presenters for assigned campus• Maintains accurate logs and organizes office bulletin boards and office space• Assist in the data collection for preparation of program reports• Prepares correspondences for emails and marketing purposes• Creates the schedule for new intake appointments and assist the Student Advisor with the intake interviews• Maintains an efficient program filing system• Assist in developing program brochures and other marketing materials to meet the program needs• Assists in the control, care, and inventory of departmental property, supplies and office equipment and request orders and/or repair when needed• Greets visitors and prospective class participants, responds to request for information, places and receives phone calls, and handles mail• Responsible for the overall coordination and supervision of work study students, volunteers, and Security Services participants on the assigned campus• Contributes to campus's monthly reports• Performs other duties as assignedREQUIRED QUALIFICATIONSEDUCATION AND EXPERIENCE/TRAINING• Associate's Degree o Significant related experience may substitute for education• Minimum of two years of demonstrated office or program support experienceKNOWLEDGE, SKILLS and ABILITIES• Possess basic knowledge of administrative support concepts, practices and procedures and ability to use in varied situations• Basic-level proficiency with Microsoft Outlook, Word, Excel, and PowerPoint• Ability to effectively complete work assignments independently• Ability to confidentially and discreetly handle subject matters requiring privacy and sensitivity• Ability to work accurately with great attention to detail• Possess excellent written, verbal and interpersonal communication skills • Ability to prioritize/handle multiple tasks and work with deadlines in a dynamic environment with limited supervision• Ability to work a flexible schedule to accommodate departmental needs as direct• Possess sensitivity to respond appropriately to the needs of a diverse populationCOMPETENCIESCRITICAL COMPETENCIES• Service Focus• Communication• Quality of WorkVERY IMPORTANT COMPETENCIES• Time Utilization• CollaborationIMPORTANT COMPETENCIES• Adaptability• Continuous ImprovementPERFERRED QUALIFICATIONSEDUCATION AND EXPERIENCE/TRAINING• Associate's degree• Demonstrated experience/proficiency working with publishing software, spreadsheet, and database applicationsKNOWLEDGE, SKILLS and ABILITIES• Possess knowledge of college admission procedures and college resourcesPHYSICAL DEMANDS/WORKING CONDITIONS(The demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
