Description
The Program Assistant is a civilian administrative position assigned to the City of Columbia Police Department. The Program Assistant must be able to provide exceptional customer service and communication skills while having the ability to multi-task in a fast-paced environment. This position requires an enthusiastic individual who presents themselves with a professional demeanor, a positive attitude, and a very high attention to detail. This Program Assistant position will be assigned to perform a variety of highly confidential/multifaceted administrative and clerical duties in support of their ivision.
The work is considered sedentary in nature and involves walking or standing some of the time and involves exerting up to 10 pounds of force on a recurring basis or routine keyboard operations. The work requires the following physical abilities to perform the essential job functions: fingering, grasping, handling, hearing, mental acuity, reaching, repetitive motion, speaking, talking, visual acuity and walking.
Work environment involves exposure to no known environmental hazards; and is safe and secure that may periodically have unpredicted requirements or demands.
Essential Job Functions
* Performs administrative duties for the Division. Composes and prepares correspondence and reports, etc., with a high degree of accuracy and professionalism;
* Assists in maintaining an accurate and up-to-date distribution phone lists and office floor plans;
* Answers Incoming questions/complaints and inquiries that do not require a supervisor's attention;
* Attends meetings, workshops, conferences, training, etc., as appropriate to enhance job knowledge and skills Requires data entry of recommended reports as assigned.
* Completes data entry task with a high degree of accuracy.
* Maintains the upkeep of permanent files, forms and videos as directed.
* Distributes Division mail, teletypes, etc., to Division personnel.
* Maintains Division supplies as defined and required.
* Provides support to Division employees as needed.
* Performs other related duties as assigned.
Qualifications
MINIMUM REQUIREMENTS TO PERFORM WORK:
* An Associates' Degree in Business, Criminal Justice, Administration or related field;
* Minimum 1-2 year of related work experience in office administration, customer service, or reception;
* Possess or be able to obtain a valid South Carolina Driver's License

* Ability to work autonomously in confidentiality, multi-task, and work in a fast-paced environment.
* Ability to maintain a friendly and welcoming personality.
* Excellent computer skills with a high degree of proficiency with Microsoft Office (MS Outlook) and willingness to learn new applications.
* Demonstrated ability to prioritize tasks and manage deadlines calmly with frequent interruptions in an active office.
* Excellent interpersonal and written communication skills with ability to engage in friendly and professional correspondence with all levels of leadership within the organization.
* Ability to work well in a team environment.
* Strong attention to detail and proactive problem-solver.
* Ability to learn the applicable laws, ordinances, and department rules and regulations; communicate effectively orally and in writing; establish and maintain effective working relationships with subordinates, peers, and supervisors; follow verbal and written instructions; and learn the city's geography.
* Possess or be able to obtain a valid South Carolina Driver License
* Ability to write reports in a logical manner.
