**Description**
The Program Coordinator duties are organizing, coordinating, and planning operational facets of a program and its related activities which include, but are not limited to the following: establishing long-term operational objectives, researching factors that may impact the success of the program, and working with individuals or groups to research and document program requirements in order to provide appropriate input into the development of strategic plans.
Position will report to Sr. Program Coordinator UME, (or to Sr. Dir, Education and Global Surgery), will work closely with faculty leadership of medical student education (UME) within Department of Surgery.
Focus will be on program administrative support for the third year (M3) clerkship and the fourth year (M4) Sub-Internship, electives, and the SURG20 elective course.
Will be lead point of contact for M3 students during clerkships in Department of Surgery, coordinating with other divisions and departments and with OMESA/SOM.
Primary responsibility for creating student site assignment schedules and entering into OASIS system; onboarding for each site for M3 and M4 students (including security, parking and building access; onboarding documentation; EMR training; assigning lockers, etc.)
Communication with students throughout clerkship regarding reminders, schedules, routine communications; communication with residents, fellows and faculty regarding timely completion of student evaluations. Preparation of green book and other student resource materials, necessary updates to Canvas course.
May assist with M1 student Week on the Wards materials preparation and other UME materials, including potentially materials for SURG20, a monthlong elective course preparing M4s who are pursuing surgical residencies. Responsible for ensuring preparations for technical skills labs and lectures (supplies setup, monitoring of supply levels, cleanup). Responsible for tracking responses to student evaluations, preparation of grading face sheets for faculty.
KEY RESPONSIBILITIES:
+ Develops work plans to accomplish program goals and objectives and monitors progress toward their achievement.
+ Conducts research and gathers information to develop various publications.
+ Develops promotional materials which may include content for reports, briefings, newsletters, grants or other written information related to the program.
+ Assists in developing and coordinating program-related conferences, conventions, or meetings.
+ Monitors expenditures and may participate in the budget planning process and prepare financial reports.
+ May assist in identifying funding resources and developing fund-raising strategies and initiatives.
+ Prepares operational and statistical reports.
+ Conducts training, represents the program at meetings and conferences, and networks with affiliated groups. May supervise assigned project staff, interns and/or volunteers.
+ Performs related responsibilities as required.
MINIMUM QUALIFICATIONS:
+ Bachelor's degree in a field related to the program.
+ Two years of related experience, or an equivalent combination of education, training and experience.
PREFERRED QUALIFICATIONS:
+ Prior experience with OASIS and Canvas platforms is desirable
+ Prior experience with medical education
+ Ability to manage multiple tasks and prioritize appropriately
+ Must be able to work independently while also communicating clearly with faculty and staff partners
