Job Description Summary

The program coordinator will provide a broad range of complex and high-level programmatic support to the Penn AI Initiative and AI Council, supporting the Director and working with faculty and staff on various projects and initiatives. This includes comprehensive planning and coordination of Penn AI programming, such as ensuring the effective and timely execution of various deadlines, programs, and events, ranging from virtual and on-campus trainings, workshops, and multi-day symposia.

Reporting to the Director, the successful candidate will have strong experience coordinating and supporting large-scale events.

Key responsibilities also include monitoring and cataloging relevant events, programs, and funding opportunities within data science and AI on campus, nationally and internationally. The coordinator will also contribute to the upkeep and content updates of the AI @ Penn website and communications and assist in developing new programs to promote Penn AI.

Job Description

Job Responsibilities

+ Coordinate and support events, conferences, and workshops in data science and AI, including but not limited to scheduling, managing event vendors, catering orders and supplies, distributing event invitations and tracking registration, managing event budgets, purchase orders, and attendance.

+ Coordinate and support AI Council meetings, interfacing with faculty and senior leadership.

+ Track and compile events, conferences, and related programming in data science and AI happening on campus, locally, nationally, and globally.

+ Track and compile funding opportunities in data science and AI.

+ Support AI @ Penn website through updates to website content and monitoring AI @ Penn email.

+ Support creating and implementing programs to grow awareness of PennAI on campus, locally, nationally, and globally.

+ Support the development of AI Fellows program, including application process and coordination of fellows and associated programming.

+ Support the Director in researching and compiling information for content related to newsletter, social media, and website publications.

*Please note that this is a term position with a target end date of January 31st, 2028*

Qualifications

+ Bachelor of Arts, Bachelor of Science, Bachelor of Fine Arts, and 2 to 3 years of experience or equivalent combination of education and experience is required.

Job-Related Knowledge/Skill

+ Ability to manage multiple projects simultaneously across multiple teams.

+ + Strong organizational and digital file management skills.

+ Basic knowledge of AI and data science preferred.

+ Demonstrated writing experience, preferably in website, editorial, and social media content.

+ Understanding and sensitivity to matters of diversity, equity, and inclusion.

+ Ability to discern the need for confidentiality and handle as appropriate.

+ Demonstrated knowledge of content management systems (e.g. Wordpress), Microsoft Office software and social media tools.

+ Willingness and enthusiasm to learn new skills and work in a collaborative, team environment
