Program Coordinator to administer and coordinate the Family Medicine Residency Program in the Department of Family and Community Medicine; In collaboration with the Program Manager and the Program Director of the Family Medicine Residency Program, plans and coordinates key cyclical events of the program and oversees assigned program activities to ensure that goals and objectives specified for the program are accomplished; plans and coordinates meetings, conferences, educational programs, and special events; assists with preparation of reports; answers phones and email inquiries; serves as liaison for faculty, residents, staff, administration, and external customers and organizations; distributes mail; establishes and maintains files; performs other duties as assigned.
Minimum Education Required
Bachelor's Level Degree or equivalent combination of education and experience
Desired Qualifications
Experience in administration and planning of an academic medical educational program and/or in graduate medical education desired. Selected candidate may be requested to complete a pre-employment physical including a drug screen.
50%: Provides support to the Department of Family Medicine Residency Program; In collaboration with the Program Manager, Program Director (PD) and Associate Program Directors (APDs) of the Family Medicine Residency Program, plans and coordinates key cyclical events of the program including graduation and off-boarding, resident orientation and on-boarding, annual program retreats, research symposium, and quarterly faculty development; assists Residency PD with calendar management in regards to recruitment, resident reviews, and clinical competency. Attends and records minutes of meetings; transcribes and distributes meeting records. Assist Residency Program Manager with coordinating the interview experience; utilizes national systems for candidate selection including ERAS, Thalamus and the NRMP.
20% Serves as primary contact for residents' travel to conferences and manages reimbursements. Arranges travel logistics and reimbursements.
20%: Coordinates resident weekly conference schedule; coordinates with APD on guest speakers, runs virtual and/or in-person conference which includes: scheduling room and events and video production services, ordering lunch for in-person attendees, maintaining attendance records, and deploying evaluations in Medhub.
10% Administers MedHub system, which includes updating schedules, attendance, and evaluations. Assists with the distribution, monitoring, and collection of resident performance and faculty teaching evaluation activities. Prepares semi-annual and summative evaluation materials.
