The vision of CMHHIFL is to provide the highest quality mental health services to persons with complex, serious, and persistent mental illness within the resources available. Our mission is to support those individuals in achieving their recovery goals and reaching their full potential. CMHHIFL provides inpatient treatment to adult patients, generally between the ages of 18- 59. The hospital currently has 138 adult inpatient beds and over six treatment milieus serving civil and forensic individuals. Typical schedule is Monday through Friday,8 AM-4:30 PM**Please note: While there may be some flexibility in scheduling, shift times and dates may vary, depending on the needs of the programThis position works under the direction of the Chief Support Services Officer at CMFHFL; Provides administrative, program support and management in areas of time assistance; PAF generating, tracking, and reconciliation; vendor support for select hospital-required efforts, as assigned; provides administrative, program support and training to the Fort Logan Volunteer Auxiliary support entity non-profit; Coordinates the in-house access to transport vehicles for staff transport functions, in tandem with DFM; Assists with hospital with Environment of Care based task responses and/or other mitigation efforts to support a safe hospital environment and community.Job Duties:Program Coordination-Support Services:Fully operational Executive Program Coordinator for the Support Services Department. Develops, plans, and implements procedures to ensure that workload, operational requirements, deadlines, guidelines, and expectations are being met by the Support Services Department. Manages multiple Google calendars, and task management, provides administrative support to the Chief Support Services Officer, maintains departmental spreadsheets and documentation, and develops database innovations as necessary. Develops and maintains filing systems for personnel, volunteers, and confidential personnel files, ensuring that training records, performance plans/evaluations, and other needed information are current. Assists with inputting and tracking PAF movements in eClearance as required to aid the Chief Support Services Officer and Director of Safety. Provides timekeeping functions utilizing the KRONOS system. Supports the office by answering communications and anticipating customer needs in responding to requests for information, maintaining office supplies, managing incoming/outgoing mail on behalf of the departments, and greeting visitors and/or volunteers as needed. Initiates work orders. Provides minute recording and production for the Environment of Care (EOC) committee, working back with a variety of hospital stakeholders. This position serves as the point of contact for programs including but not limited to Volunteer inquiries and internal Transportation Unit inquiries. This position has the authority to make decisions within the limits and objectives set by an administrator and the technical guidelines of a program or professional subject area without prior approval. Works with the CFO's office on appropriate coding strings for procurement and reallocation purposes, and completion of receiving reports as indicated for business need. Manages internal employee cell phone programs under the direction of the Chief Support Services Officer. Volunteer Services:To support the 501 c 3 support entity non-profit, the Fort Logan Volunteers, by providing program coordination in order to achieve volunteer program objectives:
  • Recruits, trains, and places volunteers into appropriate clinical and hospital assignments based on fit.
  • Manages and anticipates volunteer needs by answering questions, inquiries, and providing necessary information for interviews, and supporting competencies.
  • Supports and analyzes volunteer operations by maintaining necessary databases, documentation, and personnel files as required by the Joint Commission.
  • Provide training and guidance to volunteers in service utilizing the best practices and means possible while also providing creative enhancements for successful orientation, training, and hands-on training as required per standards and meeting volunteer needs as they arise.
  • Participates in board meetings, and volunteer meetings, and collaborates on program development, modifications, and innovations as necessary.
  • As part of Volunteer Services, this position completes supply shopping and deposits on behalf of the non-profit.
Other Duties as Assigned Minimum Qualifications, Substitutions, Conditions of Employment & Appeal RightsMinimum Qualifications:Two years of professional experience working in a mental/behavioral health field and/or performing program coordination, clerical/administrative duties, volunteer coordination or other closely related duties to those assigned to this position.ANDBachelor's degree from an accredited institution in a field of study related to the work assignment.Substitutions:Additional appropriate experience will substitute for the degree requirement on a year-for-year basis.Additional appropriate education (e.g. MA degree in a related field) will substitute for the required experience on a year-for-year basis.Preferred Qualifications
  • Experience with pro-social interactions amongst patients, staff, volunteers, visitors, and external stakeholders as required
  • Experience in database management (spreadsheets, budgets)
