Program Director - Athletics (Business and Ticket Operations) Bookmark this Posting Print Preview | Apply for this JobPosting DetailsPosition InformationJob Title Program Director - Athletics (Business and Ticket Operations)Full Time/Part Time Full TimeFLSA ExemptGeneral Job DescriptionThis is a professional position responsible for handling the day-to-day business and financial operations of the athletic department. Responsible for managing the daily operations of the athletic ticket office, including but not limited to printing; customer service; event operations, management and execution; staff management, scheduling and oversight; reporting; and distribution and reconciliation of ticket sales for all athletic and special events. Works under general supervision, with moderate latitude for the use of initiative and independent judgment. Reports to the Senior Associate Athletic Director of Internal Affairs.Essential Job Functions1. Assists in the management of daily departmental business office operations.2. Oversees daily deposits and cash collection process.3. Processes purchase requisitions and financial transactions, including payments to vendors, in an accurate and timely manner.4. Reconciles procurement and travel card expense reports.5. Monitors all departmental expenses and works closely with departmental staff and related university departments to ensure effective and efficient operations and documentation of expenses within the system.6. Creates financial reports and assists in the review and development of future operating budgets with the programs housed within the athletics division.7. Manages day-to-day operations of the ticket office.8. Oversees all ticketing operations related to home regular season and post season games and other events hosted in athletic facilities.9. Hires, trains, and supervises student workers as needed for general ticket operations and game day events.10. Builds specific seasons, events, and price tables in the ticketing system, including price levels and ticket types.11. Uses athletic ticketing platform to assist with order entry and customer inquiries regarding ticket and donation records.12. Prepares event batches for ticket sales and balances and deposits all funds received from ticket sales and other revenue streams.13. Coordinates and assists with game day ticket distribution for will call, students, and recruits for specific events.14. Posts and maintains records, files, and ledgers.15. Prepares invoices and receipts for customers as requested.16. Maintains inventory of various forms, special paper, labels, envelopes, and other supplies.17. Recommends improvements for the customer ticketing experience.18. Assists in monitoring the ticket office website for necessary updates.19. Assists with printing and distribution of tickets.20. Coordinates game day equipment setup.21. Receives and supervises the receipt of payments from students and others for departmentally sponsored activities.Non-Essential Job Functions1. Adheres to all applicable National Collegiate Athletic Association ( NCAA ), conference, and university rules and regulations.2. Attends university and other organizational meetings as assigned.3. Ability to establish and maintain a good rapport with university faculty and staff, students, and the general public.11. Ability to explain policies and procedures to internal and external customers.12. Ability to maintain effective interpersonal relationships.13. Ability to identify and analyze problems, evaluate alternatives, and implement effective solutions.14. Ability to set priorities and complete assignments on time.15. Ability to accurately prepare and maintain records, files, and reports.16. Ability to train and supervise others.17. Ability to learn office and university-specific software.18. Ability to work evenings, nights, and weekends as necessary.Physical DemandsRequired EducationBachelor's degree is required.Required Experience and TrainingTwo years of related experience is required. Professional work experience in accounting, financial management, and/or business operations is required.Preferred QualificationsSupervisory experience is preferred. Procurement card management experience is preferred. Experience with NCAA intercollegiate athletics rules and regulations is preferred. Experience in Concur travel platform and Banner enterprise resource planning system is preferred. Experience in Paciolan or similar athletic ticketing platform is preferred.
