This position oversees daily program activities, prepares materials and assures programs are maintained and staffed at an appropriate level. The position also assists with front desk duties including answering telephones, program registration, handling paperwork and directing the public as needed. This position is not solely dedicated to the discipline of theatrical experience the applicant is most proficient in (e.g., stage management, music direction, choreography, technical, etc.) but, an employee who performs one of those tasks, in addition to being a creative, customer service oriented professional responsible for the following: clerical/admin, assistance in the execution of all productions, workshops, and educational classes and camps. This position acts as both a public face for Athens Creative Theatre and a supportive liaison between the supervising Program Specialist and the program participants. The person selected for this position will also provide internal customer service between Athens Creative Theatre and other Leisure Services programs and facilities, handle program publicity, social media, program registrations, the collection of data for reports, the maintenance of archival records/materials, as well as all other administrative functions and responsibilities as assigned.Job Related RequirementsWork Schedule: Weekdays from 8:00AM - 5:00PM, 12:00PM - 9:00PM during productions. Will be required to work evenings and weekends based on the production schedule.May be required to work on religious holidays. Regular and predictable attendance is required. Must work cooperatively with others. When requirements include vehicle operation, responsible for the safety, readiness and operation of the vehicle and must abide by ACC's safe driving policy. Minimum Training & Experience Required to Perform Essential Job FunctionsHigh school diploma with one year of recreational programming or related experience required; or any equivalent combination of education, training and experience which provides the requisite knowledge, skills, and abilities for this job. Must possess a valid driver's license.Must be certified in First Aid/CPR or have ability to attain within 6 months of employment.Supervisory experience is preferred. Essential Duties, ResponsibilitiesThe following duties are normal for this job. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned. Assists with the planning, developing and evaluating of programs and special events for all age groups in the community. This position would be the glue between the programs in exhibition/education areas and the public of ACC in that they would assist the department with an outreach calendar, graphic design and all promotion.Recommends programming to meet community needs.Maintains and processes records, and updates reports, flyers, publications and promotional materials for programs and the facility.Instructs classes and/or conducts programs where necessary.Maintains inventory of supplies and equipment and requisitions supplies for activities and events.Assists with the coordination of volunteer needs, recruitment, training and recognition at assigned facility.Prepares facility for programs and special events. Inspects and monitors facility buildings and grounds, and performs routine building maintenance as needed.Would assist all the staff in the large public events and would contribute to the management of the physical plant as needed.Assists with the management of daily operations of the facility and short and long-range program planning.Would manage all social media, e-newsletters, memberships. Would be at the front desk as needed as well as fill in for full time staff during lunch hour.Performs research for special projects, staff, and the general public.Researches the needs for outreach and public relations.Assists with website updates as needed. Transports participants to and from activities.Assists with the enforcement of facility rules and regulations.Serves as community resource person in programming and special events.Performs other related duties as required.When Assigned to Athens Creative Theatre (ACT)This position reports to the Program Specialist - ACT and is directly involved in theatrical productions, special events, and programming activities.Responsibilities include coordinating programming, promotions and marketing, and facility tours/rentals while providing specialized services via a demonstrated command of a recognized theatrical skill set (including, but not limited to musical direction, stage management, choreography, technical design, or other form of stagecraft) for productions, events, and programs.Provides services related to their theatrical specialty in programming, productions, and special events.Coordinates schedules for contract labor, volunteers, and program participants, including training when needed.Acts as primary administrator for ACT's social media presence, mass mailing services including online newsletters, and the ACT website.Produces flyers, publications, and promotional materials for programs, performances, and events.Enters programs into registration and volunteer software and collects data for participation numbers, volunteer hours, ticket sales, registration information for administration's reports and records.Coordinates space rentals, program usage, and performance logistics for Quinn Hall, communicating necessary details to Memorial Park staff.Conducts ticket sales in person and via phone during weekday box office hours as scheduled, and assist in scheduling coverage during at-the-door sales for ACT productions at both performance venues (Morton Theatre and Quinn Hall).Prepares box office settlement documentation and the safe deposit of these and other program funds.Assists with activities of advisory board, Friends of Athens Creative Theatre (FACT).Knowledge, Skills and Abilities Knowledge of the principles, practices and procedures of assigned facility in the Leisure Services Department.Knowledge of management and recreational practices, policies, and procedures as necessary in the completion of daily responsibilities.Knowledge of all applicable laws, ordinances, policies, standards and regulations pertaining to the duties and responsibilities of the job.Ability to effectively communicate and interact with subordinates, management, employees, members of the general public and all other groups involved in the activities of the Athens-Clarke County Government as they relate to the Leisure Services Department.Ability to assemble information and make written reports and documents in a concise, clear and effective manner.Ability to stay informed of any changes in policy, methods, operations, budgetary and equipment needs, etc. as they pertain to departmental operations and activities.Ability to effectively handle human relations and technical subjects.Ability to handle the required mathematical calculations.Ability to communicate effectively both orally and in writing.
