Job Description Arizona State University is seeking a Program Manager for Event and Meeting Services in the Memorial Union. The Program Manager will support the academic mission of the University by performing work of considerable difficulty in coordinating and directing the activities and functions of Event and Meeting Services. This position independently ensures that the goals and objectives of Event and Meeting Services are accomplished in accordance with priorities, time limitations, funding limitations and other specifications. The Program Manager of Event and Meeting Services supports the larger Student Services vision to ensure the Memorial Union and Student Pavilion remain high-quality, student run facilities. Under the direction of the Director for Student Unions and Centers, this position has responsibility for the scheduling and reporting for daily operations of the Memorial Union, Student Pavilion and the surrounding exterior spaces. The position is responsible for management of events and guests for the Memorial Union and Student Pavilion. The Program Manager provides leadership to the Event Coordinator team and fosters relationships with student organizations, academic and staff departments and the external community to deliver an exceptional experience in the Memorial Union and the Student Pavilion. Department Statement The Memorial Union, or MU as it is familiarly called, serves as the campus community center for students, faculty, staff and guests of Arizona State University. The four-level building features a variety of programs, services and opportunities for student involvement. The MU also serves as the central meeting and conference center for registered student organizations, campus departments and at various times of the year, for organizations and community businesses. Since opening its doors in 1956, the MU has undergone a number of renovation projects as well as several additions to original structure, most recently in 2008. Today the building totals about 253,000 square feet which serves a growing student body. The Memorial Union and the Student Pavilion serve as the campus community center and the hub of student connection collectively.   • Evidence of a Master's degree in Higher Education or related field.
  • Experience in large-scale and small-scale event management in a higher education environment,
  • Experience in utilizing event scheduling software.
  • Experience utilizing event diagramming software.
  • Demonstrated knowledge of management and supervisory principles and practices
  • Experience in problem solving and decision-making
  • Experience in planning, analyzing and coordinating activities and establishing priorities
  • Evidence of effective communication

  • Directly supervises the activities and functions of Event and Meeting Services within the Memorial Union and Student Pavilion.
  • Oversees daily operations and coordinates program activities through assigned professional and staff; prioritizes and delegates work activities.
  • Oversees the student hiring, training, and development of student employees with Event and Meeting Services, serving as direct supervisor.
  • Oversees the scheduling of high-profile and large non-university affiliated events and reservations, serving as the direct event coordinator.
  • Plans and coordinates services according to customer requirements; coordinate services for events including, but not limited to, facilities, catering, signage, displays, special needs requirements, event security and transportation.
  • Enters events, meetings and other activities into the appropriate event management system and diagram software.
  • Consults with event planners, identifying and recommending appropriate spaces, setup needs and audio/visual.
  • Serves as direct catering liaison between ASU Student Unions and Centers and Sun Devil Hospitality, evaluating past events and making recommendations for improvement.
  • Produces and disseminates reports to unit staff and other campus entities as required.
  • Supervises and facilitates the development and delivery of training materials, and content with Student Unions and Centers team; oversees logistics, scheduling and communications.
  • Responsible for policy development and implementation for all programming and meeting spaces.
  • Responsible for all assessment efforts coordinated in conjunction with service within ASU Student Unions and Centers.
  • Assists Director in preparing budget proposals, establishing a system for controlling expenditures in accordance with budget allocations; recommends equipment and resources for the program.
  • Responsible for Event and Meeting Service billing/invoice generation procedures for all appropriate billing areas.
  • Research pricing throughout the Valley as well as other student unions to make comparable analysis and thoughtful recommendations for future goals.
  • Develops and recommends strategies to increase meeting room and event revenue generation.
  • Remains current on hospitality and event management industry trends and best practices and where applicable, make recommendations to keep the program competitive and current.
  • Collaborates with Director and appropriate campus partners to create marketing strategies aimed at increasing sales and customer satisfaction.
  • Acts as a resource to all members of the campus community on event planning process for the University.
  • Serves as a liaison between event management software representatives and the Student Unions and Centers unit, communicating needs and representing the unit's best interest.
  • Contribute to a work environment that encourages knowledge of, respect for, and development of skills to engage with members of the community and the community at large from diverse backgrounds.
