About the Role The Program Specialist (VAULT) position is administrative and requires processing official documents related to veterinary licensure. The role is also instrumental in ensuring the efficient workflow and accuracy of the score transfer process to veterinary licensing boards through leadership, collaboration, and a proactive approach to problem-solving. The Program Specialist (VAULT) exemplifies excellent customer service, utilizes data to make informed decisions, and contributes to strategic initiatives. This role requires a proactive approach to process improvement and effective communication. The ideal Specialist candidate will have two or more years of experience working with regulatory boards of any profession and their licensure processes. This candidate will have proven performance working collaboratively on a team. In addition, candidates should have strong written and verbal communication skills. Responsibilities WITHIN 1 MONTH, YOU WILL:
  • Understand VAULT staff duties and establish positive working relationships within the department
  • Be able to navigate the database to find and update records
  • Understand the licensure process for veterinary professionals at a high level
  • Recognize the role of the VAULT department and services in the licensure process WITHIN 3 MONTHS, YOU WILL:
  • Competently process all VAULT applications following documented procedures
  • Collaborate effectively with the Mobility Program Manager and Program Specialist (VAULT Data)
  • As part of the VAULT team, answer customer questions via phone and email WITHIN 6 MONTHS, YOU WILL:
  • Actively contribute to process improvements
  • Establish relationships with internal technical and departmental specialists
  • Seek out resources and know where to find answers for questions for non-standard services
  • Communicate with Member Boards involving licensure issues WITHIN 12 MONTHS, YOU WILL:
  • Lead implementation of improvements in VAULT communications and processes
  • Act as a team lead and resource for fellow department members
  • Establish relationships with member regulatory boards and allied organizations
  • Comfortably present details and benefits of department services. Education and Experience Required: Accredited Bachelor's degree and two or more years of experience working in an office setting. Demonstrated proficiency in use of Microsoft Word, Excel, Outlook, and Teams. Experience working in a database or records management system. Preferred: Accredited Bachelor's degree and two or more years of experience working with regulatory boards of any profession and their licensure processes. Experience serving as a team lead and working in a collaborative team setting. Details This is a full-time and non-exempt position. Work is performed under the direction of the Mobility Program Manager. Occasional travel and weekend work may be necessary to fulfill the position's responsibilities. Specialist Salary range: $46,000 - $50,000 The AAVSB is headquartered in Overland Park, Kansas. This position may be virtual/remote with the understanding that there will be required company-paid travel to Overland Park, KS, and potentially other locations throughout the year.
