Summary This Program Support Assistant position is in the Radiology Services at the Togus Maine VA Medical Center, located at the Togus location. This is a full time position at 40 hours a week. Responsibilities The Program Support Assistant position is to provide a wide variety of administrative, clerical, and technical support to the Radiology Service. Duties will include, but not be limited to the following: Responsible for the Electronic Inventory List (EIL), obtains inventory paperwork, gains signatures, and submits memos in a timely manner. Develops workflow charts, graphs, and internal mechanisms; to show trending data, workflow efficiency, and program development. Ensures that requests for equipment are submitted in a timely, accurate manner providing adequate justification to support requests. Informs staff of new procedures and/or changes to existing policies. Utilize office automation programs and software such as Word, Excel, Power Point, and database management in support of the clerical and administrative work. Maintains purchase card authorization and tracks purchases from request to delivery ensuring the accuracy and frugality for the department. Maintains and tracks appropriate level of office supplies throughout the department. Maintains, tracks, and budgets for a Staples account to replenish supplies when needed. Provides clerical contact support such as answering telephones, referring visitors, or providing information as needed on facility, processes, services, and locations within the facility and the department. Serves as timekeeper for the Radiology Service. Prepares time and attendance reports for Radiology Service Line Chief and Manager, ensuring all time and attendance cards are completed accurately and processed in a timely manner. Coordinates the orientation of new staff to the Radiology Service Line ensuring onboarding activities are completed. Prepare travel and education requests for staff within Radiology Service Line. Required to utilize several forms of communication to include Instant message, copy, fax, scan, and email. In some cases, more than one SF-50 may be required to show a higher grade previously held. Award 50's do not provide sufficient information and will not be accepted. - Interchange Agreements with Other Merit System: Employees who occupy medical or medical-related positions and were appointed under 38 U.S.C. 4701(1) or (3) [formerly 38 U.S.C. 4104 (1) and (3)] must be serving in a full-time position without time limit and have served continuously for at least one year in this other merit system to be eligible to convert to the Title 5 System. Some exceptions to this rule may apply if you have previously acquired tenure under a Title 5 appointment. Requirements Conditions of Employment Qualifications To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 02/28/2025. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS 5 position you must have served 52 weeks at the GS 4. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your Experience and or your Education as described below: GS 5 Specialized Experience: Have one (1) year of specialized experience equivalent to at least the next lower grade level (GS 4) related to the work of the position to be filled. Examples of specialized experience would typically include but are not limited to: Provide a wide variety of administrative, clerical, and technical support; Performs work that supports budget analysis and administration; utilizes office automation programs and software such as word processing, spreadsheet and database management in support of the clerical and administrative work as well as fax machine, scanner and email. Or; Education: Successfully completed four (4) years of education above the high school level in any field. NOTE: Transcripts (unofficial or official) must be submitted with the application. Or; Experience and Education Combination: Have an equivalent combination of successfully completed post-high school education in excess of the first 60 semester hours (beyond the second year)is creditable toward meeting the specialized experience requirement, and the specialized experience as described above, meets the total experience requirements for this grade level. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work is sedentary. Typically, the employee sits comfortably to do the work. Work Environment: The work environment involves everyday risks or discomforts, which require normal safety precautions, typical of such places as offices, conference rooms, and training rooms.
