Job Description:

We are seeking a dynamic and detail-oriented Programs Assistant to support the planning, coordination and execution of our client's events and initiatives. This role is vital in ensuring the seamless delivery of programs that inspire leaders to engage and act. Programs Assistant Responsibilities:
  • Assist in the planning and execution of events, forums and workshops, including logistical coordination and on-site support
  • Manage program-related correspondence, including invitations, confirmations and follow-ups with participants and speakers
  • Maintain program schedules, track deadlines and ensure timely communication with stakeholders
  • Research and compile background materials for events, including participant biographies and topic briefings
  • Support the development of marketing and promotional materials, including program descriptions and event announcements
  • Coordinate with vendors and venues to ensure all logistical needs are met
  • Monitor program budgets, process invoices and track expenses
  • Provide administrative support, including managing files, updating databases and preparing reports
Programs Assistant Requirements:
  • Bachelor's degree in a relevant field such as communications, public relations or political science, or equivalent experience
  • 1+ years of experience in program coordination, event planning or administrative support
  • Exceptional organizational skills and attention to detail
  • Strong written and verbal communication skills
  • Ability to multitask and prioritize in a fast-paced environment
  • Proficiency in Microsoft Office Suite and familiarity with virtual event platforms (e.g., Zoom, Microsoft Teams)
  • A commitment to nonpartisan values and an interest in fostering dialogue and collaboration
  • Experience working with nonprofits or mission-driven organizations preferred
  • Familiarity with database management and CRM tools (e.g., Salesforce) a plus
