Job DescriptionJob Summary: This position is responsible for providing assistance to the Project Manager in tracking multiple projects and will work to facilitate next steps in a given project implementation. This position serves in a liaison capacity to support projects managed by Project Management. Strong project related skills are necessary to be successful in this role. Organization and continual follow-up are vital to this role. This position assists the Project Manager in the successful planning, execution and closeout of projects and informs Project Management of project status and issues. Incumbents are expected to develop advanced skills and to have the ability to work independently. Duties & Responsibilities: Under minimal supervision, the project administrator will provide:
- manage project status reports from design to implementation,
- open new projects and invoice clients monthly based upon client requirements
- document and track all development requests,
- monitor and maintain project schedules and implementation,
- establish clear follow updates, proactively contacting others to review progress and confirm action taken,
- assist in the coordination of meetings in order to assure timely and accurate completion,
- ensure development project plans adhere to the Master Project Plan throughout the project lifecycle,
- create and maintain extensive legal and project filing system for construction and building maintenance
- ensure that technical documentation is complete through the project lifecycle
- track all contracts, subcontracts, purchase orders and change orders to maintain project schedules and cost
- participate in meetings and makes recommendations for process development or changes in service
- participate in customer calls and reviews
- assist in accurate project financials reporting to project accounting with adequate backup for management, internal and external accounting and/or SOX requirements
- accurate invoices to ensure timely issuance and payment
Required Qualifications:
- Associates degree within a technical area with relevant work or a minimum of 2 years' experience in the utility industry
- Ability to work with minimal supervision
- Strong interpersonal skills to work and communicate with a highly technical team of peers
- Proficient in MS Office including Word, Excel, Outlook, and Power Point
- Proficient in MS Project and/or Primavera scheduling software
- Demonstrated skills in written and oral communications
- High energy level with the ability to work in a fast paced, ambiguous environment with a bias for action
- High commitment to achieving goals and plans
- Excellent organizational, planning and time management skills
- Ability to deal with a variety of individuals from various socio-economic, cultural, and ethnic backgrounds
Desired Qualifications:
- Bachelor of Science Degree in Engineering from accredited college or university
- Experience working directly with material manufacturers in the development of Transmission Lines or HV Electric Substation projects
- Working knowledge of project accounting practices and financial systems
- General understanding of Fixed Price, Time & Materials, Cost Plus and Unit contract pricing mechanisms
- Knowledge of project management fundamentals
