EXPERIENCE
Saul Ewing is seeking a project assistant to support its litigation department in Boston. The Project Assistant is a member of a practice support team and provides administrative support to practice group team members and reports to the physical office location every business day (non-hybrid). Duties include assisting with creating and editing documents, filing, completing client/matter intake forms, submitting expenses, entering time, answering incoming calls, coordinating meetings, managing attorney's contacts, maintaining calendars and courthouse trips.
ESSENTIAL FUNCTIONS AND JOB RESPONSIBILITIES
• Assist with creating and editing complex documents from multiple sources, including correspondence, memos, spreadsheets, and presentations. Proofread and redline work for spelling, grammar, and layout, making appropriate changes. Responsible for accuracy and timeliness of final work product.
• Organize exhibits and gather information for deposition, hearing and trial preparation.
• Execute or quality check print jobs, make photocopies, scan and fax documents, as needed.
• Sort, file and organize, legal correspondence and documents.
• Type handwritten notes and drafts.
• Perform additional administrative tasks as requested, including but not limited to, time entry, managing electronic signatures, and basic internet research, as needed.
KNOWLEDGE AND SKILLS REQUIREMENTS
• Familiarity with legal documents and terminology (preferred)
• Able to manage competing priorities and meet deadlines
• Excellent written and oral communication skills
• Strong ability to communicate clearly and concisely, with tact and professionalism, in
every medium of communication (in person, telephone, e-mail)
• Ability to complete assignments with minimal supervision
• Excellent time management, organization, and multitasking skills
• Detail oriented; excellent proofreading skills
• Demonstrates excellent client service skill
• Willingness to undertake additional responsibilities and assist others when needed
• Ability to be reliable, flexible and adaptable in a variety of situations
• Able to work as a team with attorneys and staff
• Courteous and professional demeanor
QUALIFICATIONS
• High School diploma or GED
• Associates degree preferred
• 2+ years' experience in a law firm or professional services environment
• Proficiency in Microsoft Office Suite and Adobe Professional
• Typing speed of at least 50 wpm with a high rate of accuracy
• Experience with Massachusetts state court filing procedures preferred
• Massachusetts Notary Public preferred
PHYSICAL DEMANDS OF POSITION
Work is performed in a professional office environment and requires the following during the work day:
• Must be able to remain in a stationary position for long periods of time (working at a computer)
• Repetitive movement (i.e. heavy computer/keyboard use)
• May require occasional light lifting (files, copy paper, etc.)
In addition to the essential functions outlined above:
• Individual in this position will provide additional assistance and support as directed by
their supervisor
• Periodic overtime may be required
• This role is required to be present in the office 5 days a week
