Job Description:

The Project Assistant's primary responsibilities include coordinating and managing all activities related to providing logistical, administrative, and fiscal support to training related to suicide prevention and substance misuse prevention grants. The ideal candidate will have extensive experience with OU's Concur travel booking and expense system.

Job Duties:

* Coordinates travel, supplies, and scheduling activities related to the project.

* Interfaces and serves as liaison with Campus, College and Department administration to accomplish project(s) outcomes.

* Leads the successful implementation of coordination and logistics for virtual and in-person trainings, including registration, room setup, webinar technical support, and participant follow-up using basic planning techniques.

* Establishes and maintains on-going processes for completing project fiscal and administrative reports.

* Attends and takes notes at meetings, workgroup sessions, and seminars.

* Provides training as needed for staff members related to travel, consultant agreements, and logistics.

* Help prepare consultant contracts

* Performs related duties as assigned or as required to successfully fulfill functions of the position.

Required Education and Experience: Bachelor's degree, AND:

* 24 months of project management or related experience

Equivalent/Substitution: Will accept 48 months of experience in lieu of a Bachelor's degree to equal 72 months of related experience.

* Excellent computer skills.

* Ability to make independent decisions and judgment when following broad instructions.

* Ability to plan, coordinate, and prioritize workload.

* Advanced level of analytical, evaluative, and constructive thinking.

* Excellent attention to detail and follow-through.

* Requires extensive written and verbal communication by email, phone, and video conference.

* Standard office environment.

Departmental Preferences:

* 24 months of experience with financial management / accounting / travel systems including PeopleSoft, Taleo, Concur, and SharePoint

* Previous OU experience, particularly in budget, accounts payable & purchasing or payroll.
