The Division of Institutional Planning & Operations (IP&O) employs a workforce of approximately 2,700 staff, represented by 15 collective negotiations agreements, and is responsible for institutional strategic initiatives and operations, which encompasses an expansive range of comprehensive service and business operations across the State of New Jersey. These include planning and construction, facilities, public safety and emergency operations, environmental health and safety, transportation, housing, and auxiliary/retail operations.
Posting Summary
Rutgers, The State University of New Jersey, is seeking a Project Coordinator for the Division of Institutional Planning & Operations (IP&O). Reporting to the Senior Program Administrator, the Program Coordinator assists with the administration of the University's employee immunization and health requirements.
Among the key duties of this position are the following:
* Handles confidential employee information regarding vaccination status, compliance with University vaccination requirements, health and safety programs, employee discipline, and other personnel information.
* Coordinates employee immunization and other health affairs policy implementation/enforcement, including serving as a key liaison with other stakeholders across the university.
* Developing communications; and coordinating employee outreach during immunization campaigns.
* Organizes, administers, and coordinates multiple facets of programs, projects, and processes with the planning, preparation, evaluation, and control of communications, events, records, statistics, reports, and documents.
* Interprets agreements and ensures accuracy of deliverables.
* Performs professional work that requires knowledge of general program coordination practices and the application and use of concepts, theories, and terminology of the organization.

Qualifications
Minimum Education and Experience
* Bachelor's degree in a related field or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of coordination, organization, facilitation, report analysis, writing, and promotion/outreach.
* A minimum of two year of relevant experience in a program coordination or administrative function.
Certifications/Licenses Required Knowledge, Skills, and Abilities
* Computer literacy with demonstrated knowledge of and ability to use basic spreadsheet, word processing, database, and email software.
* Good verbal and written communication skills; and excellent listening and interpersonal skills; Editing and proofreading skills.
* Excellent time management and ability to prioritize multiple projects and tasks.
* Strong organizational, project management, and problem solving skills.
* Ability to maintain a high level of accuracy and attention to detail.
* Ability to work independently.
* Ability to adapt to changes in university policy and testing procedures.
* Ability to work under deadlines and be comfortable making decisions.
* Ability to use a high level of discretion when working with students, faculty, and staff.
* Ability to work collaboratively, collegially, and effectively with faculty and staff on planning matters.
Preferred Qualifications
* Experience in an academic or healthcare office. Administrative experience in a university environment.
* Experience working with databases, uploading/downloading data, and basic programming skills. Proficiency with ZOOM and Web Ex meeting platforms.
Equipment Utilized
* Computer literacy with demonstrated knowledge of and ability to use basic spreadsheet, word processing, database, and email software.
Physical Demands and Work Environment
* Ability to lift items up to 15 lbs.
