Project Coordinator, Hybrid, New JerseyReq #:000#######Category:Clerical / Administrative SupportStatus:Full-TimeShift:DayFacility:RWJBarnabas Health Corporate ServicesDepartment:EMR Project CapitalLocation:System Business Office, 2 Crescent Place, Oceanport, NJ 07757Job Overview:The Project Management Office (PMO) Project Coordinator is primarily responsible for supporting the Project Manager(s) and Program Manager in the coordination, implementation, management, and completion of projects, while remaining aligned with strategy, commitments, and goals of the organization. The Project Coordinator is responsible for helping manage workplan reviews, issue tracking, deliverable and project status updates, timeline management, and risk management tracking. The Project Coordinator will assist with the creation and maintenance of well-written, organized project documentation. Maintain effective communication with project team, stakeholders, supervisor, and Executive Management to ensure all levels are appropriately informed of project progress and issues. Work independently under regular supervision with quantifiable and qualitative results. Maintain a level of understanding of RWJBH Enterprise goals and IT goals and how they both are supported and impacted by portfolio of projects.Qualifications:Required:+ Associate s Degree with three or more years of related experience+ One (1) year relevant experience in large scale project coordination/support, preferably in a health care setting+ Experience in MS Office Suite, Project Management Information System/Project Planning toolPreferred:+ Bachelor s Degree+ Three (3) years relevant experience in large scale project coordination/support, preferably in a health care settingEssential Functions:1. Supports Program Manager and Project Managers in the planning and implementing of enterprise initiatives.2. Plans, leads, and implements small local or enterprise initiatives, with guidance from PMO AVP or Project Managers3. Works with PMO AVP and more experienced staff to gain institutional and project management knowledge for career development4. Communicates and works effectively with project team and vendors to define and document project requirements.5. Identifies project resources necessary and partners with Resource Managers, Department Leads, and vendors to assign individual responsibilities.6. Develops and maintains project plans and schedules, including milestones, and revises as project dictates.7. Creates and maintains well-written and effective project documentation in accordance with RWJBH PMO standards including requirements, scope, charter, investment summary, status reports, issues, risks, lessons learned, and other necessary project documents.8. Communicates project progress and relevant project information to all levels appropriately, including project team, stakeholders, supervisor, IT management, and site/department resources.9. Tracks, mitigates, and communicates all issues and risks to maintain project schedule, budget, and scope.10. Conducts and facilitates project meetings with identified resources from both RWJBH and vendor(s).11. Motivates team to work together in the most efficient manner, mitigating team conflict and communication problems.12. Communicates difficult or sensitive information tactfully and to the appropriate audience.13. Maintains decorum and composure in challenging situations and can navigate project resources, including stakeholders and executives, through them.14.
