Role:

As a Project Administrator you will provide administrative support and assist with coordination for all BLDG projects and project teams.

Primary Responsibilities:

Assist Project Teams (Architect, Project Manager, Site Manager, etc.) in all phases and aspects of a project.

Work collaboratively with outside parties (Consultants, Suppliers, Subcontractors, etc.) to accomplish project goals.

Participate in project and team meetings as needed.

Provide support to Field Staff including ordering and tracking deliveries of materials, supplies, and site services.

Enter and maintain Procore project information including subcontractor and supplier contracts, contacts, invoices, change orders, purchase orders, payments, and certificates of insurance.

Maintain and distribute drawings and submittals as may be required.

Assure preparation and completion of site-specific safety manuals and required logs.

Perform administrative duties including filing, organizing, and distributing files, mail, and correspondence.

Track and follow up with subcontractors regarding project paperwork including Certificates of Insurance and Lien Waivers.

Assist with daily planning of managers schedules, meetings, trainings, and possibly travel if assigned.

Maintain construction permits and company licenses within various jurisdictions for applicable jobs.

Required skills:

Proficiency in Procore Project Management software

2 years of experience in the Construction or Building design industry

Comprehensive knowledge of MS Office

Preferred skills:

Experience working with NYS and NYC agencies

2-5 years administrative experience

Knowledge of MS Projects

Self-motivated, organized, and professional

Ability to read, analyze, and interpret construction contracts, accounting statements, business publications, professional journals, and technical procedures
