OverviewJoin the HJF Team!HJF is seeking a Project Coordinator who, under the direction of the Project Manager-Team Lead, assists in all pre-award proposal activities of grants and cooperative agreements by reviewing, editing and submitting proposals. Job is key to supporting investigator initiated proposal submission by understanding all required databases and electronic submissions systems.This position will be in support of the surgery department.The Henry M. Jackson Foundation for the Advancement of Military Medicine (HJF) is a nonprofit organization dedicated to advancing military medicine. We serve military, medical, academic and government clients by administering, managing and supporting preeminent scientific programs that benefit members of the armed forces and civilians alike. Since its founding in 1983, HJF has served as a vital link between the military medical community and its federal and private partners. HJF's support and administrative capabilities allow military medical researchers and clinicians to maintain their scientific focus and accomplish their research goals. Responsibilities
  • Maintain a database of pending proposals through negotiations and awards by assisting the team as needed in managing various databases such as proposal tracking database, dashboard database, and Congressionally Directed Medical Research Programs (CDMRP) Biomedical Research Application Portal (eBRAP) account, and generating and distributing various reports to numerous internal and external stakeholders.
  • Confirm that grant applications are ready to be submitted by HJF to federal and private sponsors by checking that the applications are accurate, complete, in compliance with all applicable HJF, Federal, State and County laws/regulations, and that they conform with all requirements of the research performance sites and submission guidelines for applicable sponsors.
  • Prepare grant applications by assisting with budget development and budget review, text formatting, overall compliance with submission guidelines of the funding agencies and the specific proposal requirements.
  • Notify researchers of notices of award of proposals submitted and conduct meetings with post award teams for seamless hand-off and transition.
  • May perform other duties and responsibilities as assigned or directed by the supervisor. This may include attendance of and participation in required training for the role.
QualificationsEducation and Experience
  • Bachelor's Degree required
  • Minimum of 0 - 2 years experience required
Required Knowledge, Skills and Abilities
  • Excellent written and verbal communication skills, financial acumen, and be comfortable managing multiple priorities.
  • Must have good judgment and the ability to interpret and understand federal (such as National Institute of Health [NIH], Department of Defense [DOD] (Modified Medical Research Council [MRMC] and USU), and National Science Foundation [NSF]) and non-federal Program Announcements/ Request for Applications.
  • Knowledge and experience with pre-award administration in an academic setting is a plus as is environment with strict deadlines.
  • Required to work with multiple electronic systems including Excel, MS Word and File Maker Pro and submission software tools such as Cayuse for submission to Grants.gov and Adobe Forms, NIH commons, NSF Fastlane system etc.
  • Ability to obtain and maintain a T1/Public Trust background check.

  • Ability to stand or sit at a computer for prolonged periods
Work Environment
  • This position will take place primarily in an office setting.
Compensation:
  • The annual salary range for this position is $50,100-$65,000. Actual salary will be determined based on experience, education, etc.
