Job Description:
Job purposeWe are seeking a highly organized, detail-oriented, and proactive individual to join our team as a Coordinator. In this role, you will be responsible for managing quotes, negotiating rates, and fostering strong relationships with subcontractors and vendors for our national interiorscapeprojects. The position will support our plant installation services for large financial institutions, ensuring projects are executed smoothly, on time, and within budget. As a key part of our team, you will work closely with internal stakeholders, vendors, and subcontractors to ensure project success. The ideal candidate will have a background in vendor management, subcontractor relations, and administrative tasks, with experience in CAPM (Certified Associate in Project Management) and managing large-scale, multi-site projects.Duties and responsibilitiesDevelop and Maintain Subcontractor Relationships:* Develop and maintain strong, positive relationships with subcontractors, addressing any concerns or issues that arise to maintain a high level of service.Project Quotation Management:* Collaborate with the sales and operations teams to generate detailed, accurate quotes for plant installation projects based on client requirements and project scope.* Manage the quotation process from initial request to final approval, ensuring timely and accurate submissions.* Ensure all quotes are competitive, reflecting market rates, and meet client budget constraints.Rate Negotiation & Cost Control:* Lead negotiations with subcontractors to secure favorable pricing, terms, and conditions for services related to interior plant installation and maintenance.* Analyze subcontractor rates and market trends to ensure cost-effective solutions for each project.Relationship Building & Conflict Resolution:* Establish and nurture long-term relationships with subcontractors and vendors to ensure continuous collaboration and performance improvement.* Address and resolve any conflicts or issues that may arise between subcontractors, vendors, or internal teams.Project Coordination & Administrative Support:* Provide administrative support to the project management team, ensuring all subcontractor documentation, including contracts, change orders, and invoices are properly maintained.* Monitor subcontractor performance to ensure compliance with project timelines and quality standards.* Assist with project scheduling and tracking to ensure timely and successful project completion.* Expedite and coordinate the timely delivery of materials, equipment, and supplies to job sites, ensuring that projects proceed without delays.* Liaise with project managers, subcontractors, and vendors to ensure the necessary materials are delivered on time and in the correct quantities.* Review project schedules and proactively address potential delays related to procurement or delivery of materials, communicating with all relevant parties to resolve any issues.* Track and update the status of orders and deliveries, ensuring materials are available when required for project milestones.* Work with internal teams and subcontractors to resolve any supply chain or logistics issues that may affect project timelines.* Ensure that all project materials meet the required quality standards and project specifications.* Assist with the development and management of pallets for project delivery.* Inventory management and project supply management.Reporting & Documentation:* Maintain accurate records of subcontractor rates, contracts, performance, and negotiations.* Provide regular reports to senior management on project progress, subcontractor performance, and any potential issues or delays.QualificationsExperience & Education:* Bachelor's degree in business, Supply Chain Management, Project Management, or related field (preferred).* Certified Associate in Project Management (CAPM) or similar project management certification (preferred).* 3+ years of experience in vendor or subcontractor management, with a focus on pricing, negotiations, and relationship management.* Prior experience in the interiorscape, landscaping, construction, or facilities management industry is a plus.* Experience in construction expediting or project coordination in the construction industry is highly desirable.Skills:* Strong negotiation skills with the ability to drive favorable outcomes for both the company and subcontractors.* Excellent communication and interpersonal skills to build and maintain relationships with subcontractors, vendors, and internal teams.* Solid understanding of project management principles, including budgeting, scheduling, and resource allocation.* Proficient in Microsoft Office Suite (Excel, Word, PowerPoint), with experience in project management software (e.g., MS Project, Procore, or similar platforms) preferred.* Detail-oriented with strong organizational and time-management skills.* Ability to work independently and manage multiple tasks in a fast-paced environment.* Knowledge of construction project management, including materials procurement and delivery logistics.Benefits* Competitive salary commensurate with experience.* Health insurance, retirement plans, and other benefits.* Opportunities for career advancement and professional development in a growing company.
