Job Description:

We are seeking a Spare Parts Specialist for a 9-month temporary role based with our client in Pittsburgh, PA. This position will focus on project coordination within our client's custom tooling division, managing a high volume of orders and documentation for tooling projects. The ideal candidate will possess a strong blend of project management, administrative and light financial expertise, coupled with excellent organizational and communication skills. This role is crucial in ensuring the timely and accurate delivery of custom tooling components while maintaining compliance with company standards. Spare Parts Specialist Responsibilities:

  • Manage the documentation collection and order process for over 300 custom tooling projects.
  • Maintain accurate and up-to-date records, including Mold Build Requests, purchase orders, customer sales orders, mold agreements, supplier quotes and technical drawings
  • Establish regular project updates for order status and billing progress, ensuring clear communication with key stakeholders
  • Verify all tooling documentation is reviewed, approved, and compliant with ISO standards before issuing purchase orders
  • Collaborate with project managers to ensure all required documentation is complete and accurate
  • Create and issue purchase orders for tooling components and services
  • Track and process supplier invoices, ensuring timely payment and compliance with agreements
  • Develop and maintain amortization and shortfall billing schedules, ensuring accurate tracking and billing
  • Act as a liaison between suppliers, customers, and internal teams
  • Support light project management tasks, tracking project status and providing regular updates

Spare Parts Specialist Requirements:

  • Bachelor's degree in Business Administration, Record Management or Accounting, or equivalent experience
  • 1+ years of experience in an account support or project coordination role
  • Background in finance or accounting preferred, with experience in order and billing processes
  • Strong project coordination skills with the ability to meet deadlines and communicate effectively across all organizational levels
  • Highly organized with exceptional attention to detail and problem-solving skills
  • Proficient in Microsoft Excel; experience with SAP or equivalent systems preferred
  • Ability to work independently, prioritize tasks and handle multiple responsibilities with limited guidance
  • Demonstrates a customer-focused mindset and the ability to build relationships with internal and external stakeholders
  • Flexible and adaptable to changing priorities and workflows
  • Driven, self-motivated and committed to achieving goals
  • Positive attitude with a collaborative team-oriented approach
  • Operates with a sense of urgency and high energy
  • Work is performed in a hybrid model with Tuesday, Wednesday and Thursday in-office
