The Project Coordinator is an integral member of the Systems team responsible for the administrative support associated with Econolite's statewide ITS maintenance contract for the Iowa Department of Transportation. This is a temporary position and the duration is approximately three (3) months.
DUTIES
* Provide administrative support to the Operations Manager and the three Iowa office locations. Work closely with the Senior Project Coordinator to execute administrative tasks.
* Manage project inventory; includes tracking of equipment information including item names, descriptions, manufacturer names, model names / numbers, part numbers, serial numbers, etc. as well as detailed location information and transfer dates
* Coordinate with field technical staff regarding material used on work orders and associated billing.
* Assist with and create estimates for work order quotes. Submit work orders for billing on a weekly basis
* Maintain records of material procurement, use on projects / work orders, and remaining quantities.
* Track equipment orders; including initial order, delivery to ESI office or customer site, and installation for project or work order. Obtain vendor quotes for material and equipment.
* Ensure proper coding of material and subcontractor invoices to project / work order charge codes
* Ensure proper coding of timesheets to project / work order charge codes for field technician staff
* Coordinate with corporate accounting department for billing, revenue recognition, etc. Maintain records of completed billing and unbilled. Forecast planned monthly billing
* Coordinate with customers regarding any outstanding Accounts Receivable
* Must be able to interpret contract verbiage regarding billing rates, etc.
* Performs other duties as required and assigned
QUALIFICATIONS
* Bachelor's degree in Finance, Accounting or Business; or equivalent combination of education and experience
* Proficiency in Microsoft Excel and Word
* Experience with invoicing of Time & Material projects is preferred.
* Experience with inventory management is preferred.
* Previous administrative experience is preferred.
* Strong organizational and project management skills
* Effective oral, written communication and interpersonal skills
* Collaborative, team player, able to wear many hats and juggle different priorities.
* High customer service orientation
