Job Description:
The position holder will provide essential administrative support and collaborate with Project Engineers to manage and process contract documentation for GEA Custom Engineered Refrigeration Products.

Responsibilities / Tasks

Key Responsibilities:

  • Submit documents to customers per contract specifications.
  • Monitor and expedite the return of approval documents and distribute them.
  • Compile and submit final documentation (e.g., Data Books, IOMs) for Custom Engineered Refrigeration Products.
  • Track customer approval drawings and final documents; generate monthly Engineering Key Performance Indicator (KPI) reports.
  • Receive Commercial Turn-ins for new projects, complete Job Summaries and contract transmittals, and distribute Turn-in information.
  • Distribute Project Change Notices to the Engineering team.
  • Distribute quality documentation received from Manufacturing after equipment shipment.
  • Assist Engineers with creating part numbers and Advanced Purchase Requirements (APRs).
  • Scan and upload Engineering project documentation after project completion.
  • Serve as a back-up for the administrative assistant and front desk receptionist.
  • Perform other duties as assigned.

Your Profile / Qualifications

Qualifications:

  • Education: High school graduate or equivalent.
  • Experience: Minimum of three years of related administrative support experience.
  • Skills: Excellent written and verbal communication skills, attention to detail, customer-oriented, self-motivated, able to multitask, and thrive in a timeline-driven environment.
