Job Summary The Operations Manager is responsible for the 24/7 operations of the two general hospital medicine groups at TJUH Inc: Division of Hospital Medicine in Center City and the Department of Hospital Medicine at Methodist. These groups consist of a total of approximately 115 physicians and advanced practice providers with about 5 direct and indirect support staff. This individual collaborates with the Associate Administrator and Hospital Medicine Shared Clinical Services Lead to develop and implement a departmental strategic and operational plan that is in line with Enterprise and Regional needs. The Operations Manager is responsible for ensuring all systems operate smoothly and align with divisional and enterprise organizational goals (Finance & Operations, Quality & Safety, People, Service, and Growth). They are responsible for all administrative functions within the department, including financial budgeting and planning, contract management, daily operations (physician and APP scheduling), operational and strategic planning, KPI management, project management, and real-time issue resolution. The role will also manage the emerging Jefferson Addiction Medicine Consult Service which is an interdisciplinary service led by Hospital Medicine. All of this work will involve the operations manager coordinating with other departments where needed to advance Divisional goals or solve issues related to Hospital Medicine at Center City and Methodist. Essential Functions
  • Interacts with co-workers, visitors, and other staff consistent with the values of Jefferson.
  • Maximize the efficiency of all business and operations procedures.
  • Establish key performance indictors (KPIs) and conduct quality assessments. Develop, prepare and maintain departmental scorecards.
  • Reviews, analyzes and performs monthly reconciliation of all financial statements and accounts in the department. Review monthly statements in collaboration with the Division's financial analyst. Analyze and report variances to budget and prior year, as applicable. Identify expense trends. Provide summary data to department leadership on a regular basis.
  • Prepares forecasts and analyses, staffing models, reconciliations and other related tasks. Responds to budget variances on an ongoing basis, and works with various departments throughout the health system to address any issues.
  • Assist in preparation and analysis of provider productivity such as inpatient visits, billing levels, and census. Develop worksheets and graphs for distribution to practice physicians and department leadership.
  • Provide assistance to senior management on developing and implementing specific programs, products, services, and budgets.
  • Coordinate with the HR department to ensure hiring plans meet business needs.
  • Coordinates with physician contracting and compensation to ensure physician contracts are accurate
  • Interface with the Epic@Jeff Analysts and IS&T Team to ensure timely onboarding and resolution of issues.
  • Collaborate with Divisional, Departmental, and Enterprise leadership to identify process improvement strategies, improve care coordination, enhance patient safety and quality, and drive the right setting of care.
  • Serve as the Project Manager for performance improvement initiatives related to division/department operations. Facilitate project meetings, develop project schedules, engage key stakeholders, and identify metrics that will determine success. Ensure projects remain on schedule.
  • In collaboration with leadership, develops quality and performance criteria and metrics for specific departmental initiatives.
  • Develop and maintain new policies and procedures relative to department operations.
Qualifications Education: Bachelors in healthcare or business related field Experience: 5-10 years of experience in quality, process improvement, finance, and/or change management OR Education: MBA, MHA, MBA, MSN, or other related degree Experience: 3-5 years in Healthcare management OR completion of an Administrative Residency/ Fellowship 1-2 years: Quality, Process Improvement, and Change Management Closing Statement Jefferson includes Thomas Jefferson University and Jefferson Health, a dynamic university and health system with broad reach across the Delaware Valley.
