Tandym Group is seeking a dynamic and organized Project Manager to lead the planning and execution of public performance and live event initiatives. Reporting to the Executive Director, and working closely with the Assistant Director of Production and Exhibition Technology, this role will be responsible for managing multiple high-profile projects, coordinating internal and external stakeholders, and ensuring all activities are delivered on time, within scope, and on budget.The weekly hours may vary between 15 - 35 hours, so flexibility in schedule is best!Responsibilities:
- Develop and manage detailed project timelines, monitor progress, and ensure adherence to goals and deadlines.
- Serve as a central point of contact for internal teams and external partners, facilitating collaboration and ensuring all contributors stay on track.
- Organize and lead planning and implementation meetings with relevant stakeholders, ensuring clear communication and coordination.
- Conduct regular check-ins with project leads to monitor progress, resolve issues, and maintain open information channels.
- Act as a liaison between departments to address project-related needs.
- Work closely with the Executive Director and Finance Office to manage project budgets, track expenses, and re-forecast as needed.
- Coordinate vendor relations, ensuring timely delivery of services and adherence to project specifications.
- Anticipate and address logistical challenges, proposing creative solutions to meet project objectives.
- Collaborate with the Communications team to produce and distribute related materials, including emails, invitations, social media posts, and collateral.
- Run all aspects of post-event activities, including leading debrief meetings, analyzing attendance and financial outcomes, and ensuring timely invoice processing.
- Partner with relevant teams to prepare comprehensive reports on event performance and lessons learned.
- Proactively identify and mitigate potential issues to ensure smooth project execution
Qualifications:
- Proven experience managing complex live event projects of different scales involving multiple stakeholders and tight deadlines, preferably in a cultural, educational, or nonprofit organization.
- Strong organizational and multitasking skills with the ability to manage multiple priorities simultaneously.
- Exceptional communication and interpersonal skills, with a talent for building and maintaining relationships across diverse teams.
- Budget management experience, including tracking, forecasting, and reporting.
- Problem-solving mindset with the ability to anticipate challenges and develop creative solutions.
- Proficiency in project management tools and software.
- Knowledge of or experience with line producing or event planning, and with complex, institutional structures is a plus.
- Demonstrated ability to set priorities and manage projects proactively and independently.
- Bachelor's degree or 5 years of work experience, open to a variety of fields, Business or Event Management, Performing Arts
