Join us in our mission to serve the poorest of the poor .Overview:The Project Monitoring Assistant role supports the oversight of Food For The Poor's diverse projects, ensuring alignment with objectives and reporting standards. The Assistant will be responsible for monitoring and providing high-quality and timely inputs so that the project maintains its strategic vision and that its activities result in achieving its intended outputs in a cost-effective and timely manner. Facilitates communication between Project Managers and implementing partners across Latin America and the Caribbean, verifies data integrity, informs stakeholders, supports project adjustments as necessary, and ensures compliance and donor reporting. This position reports to the Monitoring & Evaluation (MEDAL) department.Key Responsibilities:
- Monitoring and reporting
- Monitor project progress towards expected outcomes and consistently ensure the accuracy and consistency of project field data collected.
- Prepare detailed progress reports with Project Managers, ensuring alignment with timelines and objectives and validating the integrity of field data.
- Ensure timely action by Project Managers and implementing partners to address project challenges identified during evaluation surveys and report reviews.
- Facilitate and contribute to the development of digital project monitoring formats, calendars, field monitoring plans, and quality assurance processes as needed.
- Work with internal stakeholders to ensure that additional project information is provided. Support the collection, compilation, review, and quality control of the received information.
- Contribute to final reports at the end of the project's monitoring period and participate in lessons-learned meetings with stakeholders.
- Document all opportunities and lessons learned in the deployed projects.
- Compliance
- Maintain up-to-date knowledge of reporting and compliance guidelines for assigned projects, ensuring all projects meet FFTP and donor requirements.
- Ensure regular updating of reporting and compliance guidelines for key donors, outlining requirements for program implementation, procurement and distribution, information collection, and storage.
- Accountability
- Uphold a high standard of accountability, ensuring that all projects and interventions are transparent and accountable to FFTP's stakeholders, including donors, partners, and the communities served.
- Inform key internal stakeholders, including FFTP fundraisers who will relay information to donors, about any challenges and setbacks as they occur.
- Actively promote the integration of accountability measures in project planning and execution, ensuring adherence to ethical standards and organizational values.
QualificationsEducation and Experience:
- Bachelor's degree in business, Industrial Engineering, Civil Engineering, International Development or a related field.
- At least 2 years of proven experience in project monitoring and evaluation within the relief and development sector.
- At least 2 years of experience working at a humanitarian and/or development organization.
- Bilingual (English/Spanish) required.
- Knowledge of monitoring and evaluation (M&E) and reporting mechanisms. Strong grasp of all stages of program cycle management and quality standards in humanitarian and development programs.
- Experience in designing tools and strategies for data collection, analysis and production of reports.

- Excellent verbal and written communication abilities, with proficiency in English and Spanish, to craft well-written reports and effectively liaise with diverse stakeholders.
- Strong capacity for analytical thinking, with the ability to interpret complex data and financial information, facilitating informed decision-making.
- Flexibility to adapt to changing project requirements and environments, with a solution-oriented approach to challenges.
- Willingness and ability to travel up to 30% of the time, often to remote domestic locations, with occasional international trips.
- Ability to meet deadlines and work under pressure as part of a team.
- Ability to work independently and manage multiple projects simultaneously.
- Proficiency in Microsoft Office.
