Orthopedic Associates of Lancaster (OAL) is one of the most respected orthopedic practices in the area, providing trusted care for generations throughout Central Pennsylvania. Our Locations consist of Lancaster, Willow Street, Manheim, Lebanon, and Ephrata, PA.Summary/Objective:The Properties Coordinator will be responsible for providing administrative and professional assistance on behalf of OAL Realty. The ideal Properties Coordinator will be organized, proactive, and passionate about project coordination. The Project Coordinator will also provide support to OAL's management team to ensure that maintenance work is being scheduled and coordinated with minimal patient disruption and will serve as the OAL point-of-contact with the vendors.Essential Functions: Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions:WorxHub systems administrator for OAL Realty.Responsible for collecting and updating certificates of insurance (COI) in the WorxHub system.Assist the Accounting Department in generating/processing invoices.Responsible for oversight of the daily, weekly, and monthly report generations.Responsible for the day-to-day management of OAL Realty's real estate portfolio.Works with OAL's maintenance vendors to ensure issues within the buildings are resolved in a timely fashion.Submit and execute capital expenditures as approved.Maintain the preventative maintenance schedules with OAL's maintenance vendors.Be involved in all facility issues that may result in insurance claim reporting.Active involvement in the annual CAM budget preparation.Responsible for annual review of all agreements and contracts with maintenance vendors.Other duties as assigned.QualificationsRequired Education and Experience:High school diploma or GED is required.Minimum of one (1) year of experience in project coordination/ in a project coordinator role is required.Minimum of three (3) years of experience with Microsoft Office Suite is required.Preferred Education and Experience of the ideal candidate:Experience in maintenance systems, such as WorxHub, is preferred.Experience in maintenance and construction project coordinator is preferred.Experience in vendor management is preferred.Experience soliciting, evaluating, negotiating, and executing property and grounds project proposals is ideal.Ability to work on a team and build rapport with contractors, vendors, and material suppliers is preferred.Effective communication and organizational skills are preferred.
