Property Administrative Assistant - Midtown Real Estate Firm

The Company: A well-established real estate firm with approximately 150 multifamily properties (around 4,000 units) in Manhattan.

The Position: This is a newly created role following the outsourcing of their property management to a third party. The firm is reorganizing their team and seeking an Administrative Assistant to support the administrative functions within the areas of accounting and property operations.

This position is ideal for someone looking to take on an administrative role within the real estate industry, offering the opportunity to grow and learn in a dynamic, hands-on environment.

Responsibilities:

  • Manage all data entry related to Accounts Payable (AP) and Accounts Receivable (AR) processes, ensuring accurate setup and maintenance of records.
  • Enter and maintain information for new vendors and tenants in the system, ensuring all data is correct and up-to-date.
  • Process filings for various properties and entities, ensuring that entity names (e.g., ABC1 LLC, ABC2 LLC) match precisely across all documents.
  • Act as the main point of contact for vendors, handling inquiries and maintaining positive relationships.
  • Assist with general office tasks such as filing, document organization, and other administrative duties as needed.
  • Provide support to other administrative professionals on ad hoc tasks related to office operations, including scheduling, mail distribution, and other clerical functions.

Qualifications:

  • 1-2 years of experience in a clerical or administrative role in real estate, ideally with exposure to finance or accounting.
  • Strong attention to detail, particularly in data entry and ensuring accuracy in filings and record-keeping.
  • Excellent organizational skills, with the ability to manage multiple tasks and priorities.
  • Strong interpersonal and communication skills for interacting with vendors, tenants, and internal teams.
  • Comfortable with accounting software and standard office tools (Microsoft Office, etc.).
  • Willingness to work full-time onsite in a traditional office environment.

Compensation: $50k-$55k plus benefits
