PROPERTY ADMINISTRATOR

Partners is seeking a Property Administrator to provide first-class property management services and assist the Property Management team with the day-to-day responsibilities for assets including accounts receivable and payable functions, general administrative support, customer service, and vendor relations.

WHAT YOU'LL DO

  • Accounts Payable: Code invoices in the designated invoice processing system per general ledger chart of accounts and ensure proper backup necessary for approval. Process and prepare tenant billbacks.
  • Accounts Receivable: Review tenant account ledgers for payments, late fees, charges, and credits. Submit appropriate paperwork for account ledger corrections. Make collection calls and prepare and send written correspondence to collect outstanding balances. Document collection efforts as per guidelines.
  • Reporting: Assist the Property Manager in preparing monthly reports for the Client(s).
  • Tenant & Vendor Coordination: Maintain digital filing systems, update service trackers, and maintain current tenant database. Coordinate with utility companies to set up, transfer and terminate services.
  • Insurance Compliance: Assist the Property Management team in ensuring tenants provide valid Certificates of Insurance as per lease requirements.
  • Work Orders: Work with tenants and vendors to coordinate routine maintenance projects, repairs, and other activities as directed by the Property Management Team Lead. Receive work order requests and coordinate with the building technician or vendor as appropriate.
  • Move-in / Move-out: Schedule building activity including move-ins/move-outs and verify insurance.
  • Customer Service: Maintain positive relationships with tenants and vendors, providing assistance as needed. Answer the telephone as required.
  • Contract Management: Prepare and obtain signatures for vendor service contracts and Miscellaneous Work Agreements.

WHAT YOU'LL BRING

  • Bachelor's degree is highly preferred
  • Experience as an administrator within the real estate industry
  • Excellent communication skills, both written and verbal
  • Ability to develop and maintain client/customer relationships for both internal and external stakeholders
  • Experience professionally interfacing with decision-makers
  • Strong interpersonal and organizational skills
  • Ability to thrive in a highly collaborative work environment
  • Demonstrated initiative and ability to take on multiple tasks
  • Proficiency in Microsoft Office Suite and Yardi
  • Proficiency in conflict management, sales, and contract negotiations
  • Ability to maintain confidentiality of sensitive information
