Job Summary:
The Property Coordinator is responsible for providing support to the building management team to assist in achieving the management goal of maintaining the Property in accordance with the established standards, while providing quality service expected by Class A building tenants.
Essential Functions
Administration
Act as tenant liaison and assist with tenant requests and concerns.
Oversee tenant work order issues and training for new employees, tenants, and vendors.
Assist in coordinating tenant events.
Draft tenant memos.
Office equipment maintenance including computers, copiers, etc.
Maintain office and kitchen supplies.
Order forms and stationery for office.
Answer incoming calls.
Sort and distribute incoming mail and stamp and drop-off outgoing mail.
Responsible for maintenance of tenant and administrative files.
Implement new programs or procedures as established by the Corporate Property Management department.
Maintain Certificates of Insurance for tenants and vendors.
Prepare, update, and distribute Tenant Manual.
Coordinate vendor access and maintain shared access calendar for building staff.
Book and coordinate schedules for service elevators and building conference room(s).
Maintain various telephone lists and contractor and vendor databases.
Create, produce, and distribute tenant announcements and notifications, special event flyers, and promotional materials (including Captivate announcements).
Compose letters, memos, documents, reports, spreadsheets, etc. as needed.
Order suite signage.
Maintain electronic directories.
Financial Control
Prepare tenant sundry billing and research tenant inquiries.
Assist with annual budget process.
Operations
Maintain files of warranties, permits, equipment operating manuals, base building plans, tenant as-built plans, etc. on SharePoint.
Leasing and Marketing
Assist with setup & building staff notifications for prospective tenant tours.
Construction
Ensure all Certificates of Insurance for project's contractors are on file and updated.
Supervisory Responsibility
None.
Physical Demands
This is a largely sedentary role that requires walking, talking, hearing, repetitive motion using a keyboard, and visual acuity for reading and viewing a computer monitor.
Travel
No travel is expected for this position.
Education and Experience
Bachelor's degree in real estate, business, or equivalent preferred.
Two years administrative or professional experience, preferably in a property management office.
Additional Eligibility Qualifications
Proficient in MS Office.
Knowledge of SharePoint and Teams a plus.
Excellent interpersonal skills.
Excellent written and verbal communication skills.
Excellent organizational skills, ability to prioritize, and attention to detail are a must.
Ability to manage time and multiple projects efficiently and achieve the required results.
Ability to define problems, collect data, establish facts, and draw valid conclusions.
Knowledge of Yardi accounting software a plus.

Salary Range for Seattle, WA
$65,000 to $75,000 per year, plus discretionary bonus
