The Property Management Assistant oversees scattered site leases, ensures timely rent invoicing, and assists with rent collection and tenant meetings. The role also involves general administrative tasks, supporting quality assurance projects, preparing leases and documents, and handling phone calls and payments. Essential Position Functions:
  • Manage, organize, and catalog all current scattered site leases.
  • Ensure all rent invoices are mailed to tenants on time monthly.
  • Assist with rent collection, and meet with tenants as needed.
  • Assist with data entry in Real Page/Onesite.
  • Track all court cases and manage an active calendar.
  • Perform general administrative duties including copying, filing, and assisting with recertification charting.
  • Assist with special quality assurance projects including audits and visits by funders.
  • Gathers all income and identification information for apartment applicants.
  • Follow up on any missing documents with relevant staff and third parties.
  • Prepares leases and apartment documents for initial and re- certifications.
  • Screens all incoming calls, transfers them to the appropriate staff, and takes and distributes messages.
  • Reconcile received payments for bank deposit.
  • Assist with creating and sending certified letters such as, but not limited to, rent demands, recertification notices, benefit letters, etc.
  • Attend internal and external meetings, supervision, and trainings as required.
  • Other duties as assigned.
QualificationsRequired Knowledge, Skills, and Abilities:
  • Associate's Degree preferred; High School Diploma or GED required.
  • Knowledge of tax credit and HUD certifications is a plus.
  • Strong interpersonal communication and organizational skills.
  • Excellent time management skills.
  • Experience with Real Page Onesite property management a plus, MS Excel, and knowledge of AWARDS.
  • Spanish speaking is a plus.
