About the Position: The Property Management Support Specialist plays a crucial role in the success of the company and is responsible for all administrative tasks for the entire portfolio of luxury apartment communities within a centralized department. We are seeking individuals who are proactive, extremely detail-oriented and organized, and open to wearing multiple hats in an evolving and expanding department. This candidate must be polished and provide extraordinary customer service to both the onsite teams and our residents. Selfmotivated, critical thinker, and ability to communicate with all levels are key characteristics needed for this role.

Key Position Responsibilities:

  • Working in a team environment, provide administrative support and customer service to the entire portfolio
  • Promote a positive, engaged, collaborative work environment
  • Maintain a strong rapport with the on-site teams and conduct regular meetings to provide updates on the property's performance, discuss any new trends, and identify where additional support is needed for all parties involved
  • Provide exceptional customer experience with every resident interaction
  • Process resident payments and address any payment issues (returned payments, failed receipts, missing payments, etc.)
  • Delinquency management, reconciliation, and collections
  • Improve portfolio compliance by following departments policies and procedures
  • Generate resident notices including renewals, 3-Day Notices, and final move-out statement packets
  • Manage all incoming resident and property inquiries and disputes in a timely manner
  • Process Accounting Month End for the portfolio
  • Provide analysis on monthly reporting for property performance
  • Perform other duties and special projects as assigned

What You Bring:

  • Ideal candidate would come from one or more of these backgrounds: 3+ years of Customer Service, 3+ years of Multifamily Property Management experience, and/or 3+ years in an administrative role
  • Strong written and verbal communication skills with outstanding customer service skills and proper spelling/grammar
  • Excellent attention to detail and high degree of accuracy
  • Ability to handle multiple projects simultaneously and respond quickly to changing priorities
  • Process oriented with strong organizational and time management skills
  • Demonstrate a sense of urgency and ability to meet deadlines
  • Exemplify integrity, maturity, dependability, professionalism, positive attitude and enthusiasm in the performance of duties
  • Passion for learning new skills and growing with a team
  • Able to thrive in a structured environment
  • Proficient knowledge working with office electronic tools, basic accounting and math skills
  • Computer literacy including all MS Office products (Excel, Word, Outlook, Teams, etc.) and Adobe AcrobatYardi Voyager expertise and skilled in CRM platform
  • Reliable transportation and clean driving record for minimal commuting from corporate office to post office or property (mileage reimbursement)

Compensation: In the spirit of pay transparency, we are excited to share the pay range for this position is $26-$28 per hour, exclusive of fringe benefits or potential sales commission. Base pay is one part of the total package that is provided to compensate and recognize employees for their work.

Location: The position is required to be onsite full time at the Picerne Group Corporate Office located at 5000 Birch St., Newport Beach, CA 92660.
