Job Description:
Overview : We are seeking a dedicated and experienced onsite Property Manager to oversee the maintenance and management of a private estate located in Rural Southwest Wisconsin. The ideal candidate will possess a strong understanding of mechanical systems, pool maintenance, and landscaping, with the ability to manage extensive acreage (800), seven (7) buildings and a private runway. This role will involve overseeing and managing a small team of staff, managing an annual budget of $1.5 million, and working closely with a family office to ensure seamless operation of the property. The property serves as a second home for two principals and occasionally hosts meetings and retreats of varying sizes, which the Property Manager will help accommodate.Responsibilities:Maintenance and Repairs:*
  • Conduct routine inspections of mechanical systems including HVAC, plumbing, and electrical to ensure proper functionality.* Oversee the maintenance and upkeep of building interiors, ensuring that all fixtures and systems are functioning properly, promptly fixing, or replacing any broken items, and managing general upkeep tasks such as cleaning, painting, and minor repairs.* Coordinate and oversee repairs and maintenance tasks, both routine and emergency, with external contractors as needed.* Troubleshoot and address any issues that arise promptly to maintain the optimal functioning of all property systems.Pool Maintenance:*
  • Perform regular cleaning, chemical balancing, and maintenance of the swimming pool and spa facilities.* Monitor pool equipment for signs of wear or malfunction and arrange for repairs or replacements, as necessary.* Ensure compliance with safety regulations and standards for pool operation.Landscaping and Groundskeeping:*
  • Supervise landscaping activities including lawn care, gardening, tree maintenance, and irrigation systems.* Regularly inspect and maintain property trails, ensuring they are safe, well-marked, and free of obstructions, while preserving the natural landscape.* Develop and implement landscaping plans to enhance the aesthetic appeal of the property while preserving its natural beauty.* Manage a team of groundskeepers or coordinate with landscaping contractors to maintain the property's grounds to the highest standards.Acreage Management:*
  • Oversee the maintenance and upkeep of extensive acreage, including pasturelands, forests, and recreational areas.* Implement sustainable land management practices to preserve and enhance the natural habitat while ensuring the property remains functional and aesthetically pleasing.* Monitor wildlife activity and implement appropriate measures to mitigate any potential conflicts or damage.Runway Maintenance:*
  • Coordinate with aviation authorities to ensure compliance with regulations governing private runway operation.* Conduct regular inspections of the runway surface, lighting, and signage to ensure safe and efficient operation.* Arrange for runway maintenance and repairs as needed to maintain optimal conditions for aircraft landing and takeoff..Staff Management :* Oversee and manage a small team of property staff, providing guidance, training, and support as needed.* Ensure all staff members are performing their duties to a high standard and coordinate with the family office for staffing needs and payroll.Budget Management :* Manage an annual budget of $1.5 million, ensuring that all expenditures are within budgetary constraints.* Work closely with the family office to develop and monitor the budget, adjusting as necessary to meet the financial goals of the property.* Provide regular financial reports and updates on budgetary performance.Event and Retreat Management :* Accommodate and manage occasional meetings, retreats, and events of varying sizes held at the property.* Coordinate with service providers, catering, and event staff to ensure successful execution of all events.* Maintain the property in a state of readiness for these events while ensuring the comfort and privacy of the principals.Visit Preparation :* Prepare the property for the visits of the owners or principals, ensuring everything is in excellent condition, regardless of the amount of prior notice given.* Anticipate the needs of the principals and provide personalized services to ensure their comfort during their stay.Collaboration with Family Office :* Work closely with the family office to coordinate property operations, budgets, and any special projects.* Provide regular updates on the status of the property, ongoing maintenance, and any issues that may arise.On Site:*
  • As housing will be provided, on-site living is required.* Responsibilities include 7 days a week oversight. Arrangements can be made when required to be off site.* Facilitate visits and events at the property.Qualifications:* Proven experience in property management, preferably in a similar estate or private property setting.* Strong knowledge of mechanical systems including HVAC, plumbing, and electrical.* Certification or experience in pool maintenance and water chemistry.* Proficiency in landscaping and groundskeeping techniques, with a keen eye for detail.* Ability to manage and direct a small team of workers and vendors.* Demonstrated experience in managing significant budgets, with a focus on fiscal responsibility and cost efficiency.* Excellent organizational and communication skills, with the ability to prioritize tasks effectively.* A proactive and resourceful attitude with the ability to work independently and as part of a team.* Experience in event planning and management is a plus.
