Job Description:
Natural Retreats is hiring afull-time Property Manager / Office Coordinatorto join our Palm Springs, CA team! This position assists the General Manager and the onsite team with managing day-to-day operations, and ensuring the site remains within budget, is profitable and in compliance with both city and state laws. Core duties include the overall organization and management of the site, property management, administration, and guest relations. The selected candidate should possess outstanding interpersonal skills with considerable organizational ability, commercial acumen, and close attention to detail. ESSENTIAL FUNCTIONS:
  • Work with the General Manager to oversee owner and guest services and fulfill owner and guest requests.
  • Oversee all independent contract inspectors, as well as vendors such as lawn care, hot tub, property care, etc.
  • Provide open, honest, and timely communication to all departments and central teams.
  • Manage any stocks of consumable items such as lightbulbs, batteries, dishes, etc. efficiently and within budget, assigning appropriate charges to owners as required by applicable deadlines.
  • Manage the upkeep, maintenance, and inventory of the property, and in conjunction with owners, replace items where necessary using approved suppliers and equipment.
  • Coordinate both recurring and one-time contracted services.
  • Conduct property inspections within a timeline outlined by the General Manager and as outlined in our management agreements.
  • Manage city permit system and work with the city to renew permits.
  • Answer guest and owner communications, via phone, email, and internal system.
  • Ensure all homeowners receive personalized attention and care and all guests have an AMAZING experience with Natural Retreats from arrival through to their departure.
  • Gain and maintain a strong working knowledge of the destination and be able to effectively communicate this to guests and other departments within Natural Retreats.
  • Confirm all guests receive a pre-arrival call and meet and greet in line with brand standards, ensuring each home is visited personally at least once during the guest stay.
  • Ensure all properties are ready, prepped, correctly setup, and staged according to Natural Retreats brand standards in a timely manner prior to every guest and owner arrival.
  • Ensure all NR brand standards are met in terms of safety, cleanliness, and hygiene. Assist with housekeeping as needed.
  • Scan, code, and submit invoices to Accounting as needed.
  • Update, compile, and send cleaning schedules to third-party cleaning vendors.
  • Set an example of professionalism by modeling superior work ethic, appearance, timekeeping, preparedness, and attributes to gain the trust, confidence and respect of all those who work under the General Manager's direction.
  • Participate in the recruiting and onboarding process of staff and independent contractors to ensure they are being deployed in a productive manner.
  • Drive world class service by educating and training Team Members on standards and service expectations.
  • Act as a culture champion by being accountable for following the policies and procedures set forth in the Natural Retreats' Handbook.
  • Operate company vehicle in a safe, courteous, and professional manner.
  • Obey all traffic and local driving laws.
  • Abide by the Company Car Policy.

  • High School diploma or equivalent
  • Minimum of 2 years' experience in hospitality, property management, and/or other related field
  • Valid Driver License and good MVR
  • Ability to pass pre-employment testing which may include drug testing and/or background screening
  • Proficiency in Microsoft Office
  • Strong communication and interpersonal skills to positively represent Natural Retreats when interfacing with guests, owners and industry peers
  • Strong relationship building and networking skills
  • Strong time management, problem solving and organizational skills to meet deadlines and performance expectations in a fast paced environment
  • Flexibility and willingness to vary work hours as needed - especially during peak season

POSITION TYPE/EXPECTED HOURS OF WORK:This is a full-time position. This position can expect to work 30-40 hours per week 9 months of the year, and 20-30 hours per week 3 months per year. Due to the nature of the job, the Property Manager / Office Coordinator should be flexible with their hours and expect evening and on call hours. They should be able to respond to the property within 15-20 minutes if an issue arises while a guest is in residence. Weekend and holidays will generally be busy with guest arrivals and departures and are considered working days. We encourage all of our Team Members to take two (2) days off per week where possible, knowing that guests can arrive at unpredictable times.
