The Proposal Coordinator will report to the Proposal Manager and work closely with and support the estimating team. The Proposal Coordinator will work closely with the Proposal, Business Development, Marketing and Estimating teams and interact with a variety of staff at all levels in an ever-changing environment, remaining flexible, resourceful, proactive, and efficient with a high level of professionalism and confidentiality.* Provide support to the Proposal Manager - in working with the Proposal, Business Development, Marketing and Estimating departments.* The Proposal Coordinator is responsible for leading, planning, scheduling, and overseeing the timely development and delivery of high-quality responses to municipal & government business opportunities, from pre-RFP to post-submission activities, in a fast-paced environment* The ideal candidate is well organized and will help hold the proposal team accountable to schedule* The candidate thrives in the dynamic environment of changing schedules, requirements, and priorities that often comes with proposals* Lead and analyze RFI, RFQ, RFPs and other bid documents for requirements, in a quick and efficient manner* Generate requests to include Bid Bonds, and Certificates of Insurance.* Maintain and utilize the proposal content library to include boilerplate, resumes, past performances records, contract profiles, and other content as a primary resource in the completion of assigned tasks.* Schedule appointments and maintain meeting minutes / notes for the Business Development and Marketing meetings.* Generate reports and communicate status to Management.* Ability to work on multiple concurrent projects* Data entry will be required.* Conduct business with 100% integrity and professionalism.Education and/or Work Experience Requirements:* A minimum of 1-3 years in the field or related area* Experience in the architectural/engineering/construction industry ideal* Minimum of bachelor's degree in construction, marketing, design, or related field* Must be proficient with Microsoft Office (Word, Excel, PowerPoint, and Outlook)* Experience in Adobe Creative Cloud (InDesign, Photoshop, Acrobat, and Illustrator) is highly preferred* Working knowledge of OFCCP or government (state and federal) contracting processes is preferred.* Excellent verbal and written communication skills are required.* Demonstrated experience and ability in technical writing experience is a plus.* Demonstrated ability to form excellent working relationships with all levels of employees.* Excellent organizational skills.* Ability to multitask and work independently under pressure and tight deadlines.* Strong attention to detail.* Must have own transportation.* Ability and willingness to learn new applications* Clear and demonstrated knowledge of graphic design standards, practices, and applications* Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form* Experience in heavy civil construction industry is preferred.Physical Requirements:* Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards.* Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards.* Must be able to lift and carry up to 50 lbs.* Must be able to talk, listen and speak clearly on telephone.Apply to this job
