POSITION SUMMARY

A Proposal Specialist will collaborate with the sales team to organize and facilitate the complete proposal response process on assigned opportunities. Work to coordinate the layout and design of proposal. Take the lead in formatting and preparing final setup for print or online submission; organize the proposal quality check; lead the assembly process; and arrange for delivery. Complete specific forms to be included in proposals. The Proposal Coordinator facilitates all aspects of the response process, including working with other departments including costing, technology solutions, legal, human resources, operations, IT, safety and others.

ESSENTIAL FUNCTIONS

Proposal Preparation

  • Reads, understands and analyzes the request for proposal (RFP) document; understands and tracks requirements for deliverables and forms, provides assistance with special bid response forms and with obtaining approvals and executive signatures as needed.
  • Determines requirements regarding proposal organization; number of volumes, copies and tabs required. Determine who will receive final copies (internal and external).
  • Address any special requirements; special paper, email proposal in lieu of mailing, etc.
  • Prepares work area with supplies.

Support

  • Stays informed of all issues and developments related to assigned proposals, such as amendments and changes to due date, etc.
  • Management of bid response teams tasks and timeline to ensure that deadlines are met
  • Gather information from subject matter experts (SMEs) and bid partners for inclusion in proposals
  • Formal RFP and solicitation response, including point by point responses where required
  • Responds to special requests for references, project performance, insurance requirements, VAR letters, resumes, project plans, legal review of contract terms, and anything thats not covered in the standard proposal package
  • Assist with pre-qualification requests
  • Assist with response to certificate of insurance (COI) requests

Organization

  • Monitors and helps maintain company literature, brochures, forms and annual reports in SharePoint Proposal Library
  • Plans layout of proposal. Create and produce all proposal binder and tabs, as applicable
  • Orders insert materials such as annual reports, manuals and other documents used as attachments/exhibits
  • Plans delivery of the proposal with account manager
  • Consistently works within the SharePoint and Teams workspaces for ongoing projects

Final Production

  • Assists in merging graphics and performing final formatting
  • Performs a quality check of all the final proposal copies
  • PDF packaging for electronic delivery, including document merging and bookmark creation.
  • Prepares box labels in accordance with RFP requirements, create CD labels and burn CDs as appropriate, prints, assembles, packages and ships proposals
  • On-line submission of bid responses with Ariba and other vendor selected portals
  • Performs final checklist review of response

Job Requirements:

  • Associate degree, or equivalent work experience
  • Detail-oriented
  • Strong organizational skills (section organization, document organization, and team organization)
  • Knowledge of Salesforce.com suggested
  • Very strong MS Office skills required (Word, Excel, PowerPoint and Outlook)
  • Knowledge of mapping software and MS Visio a strong plus, not required
  • Typing proficiency: 40 words per minute
  • Willingness and ability to learn new software as needed
  • Strong analytical and problem-solving skills
  • Strong written and verbal communications skills, written/grammar skills especially important
  • Ability to maintain a positive attitude and professional demeanor under pressure
  • Ability to work well with people of varying backgrounds, disciplines, personalities
  • Ability to maintain flexible attitude, and value team member contributions
  • Ability to meet strict customer deadlines
  • Ability to multi-task
  • Ability to work both independently and as part of a team
  • Experience working as part of a proposal or project team
  • Experience working on large proposals, bids, RFPs
