Job DetailsJob Location 1100 Rockhurst Road - Kansas City, MO Description Rockhurst University is seeking applications for a full-time Administrative Assistant for the Department of Department of Physical Therapy and Exercise Science. This individual is a staff member of the St. Luke's College of Nursing and Health Sciences at Rockhurst University and is supervised by the department chair. This person is responsible for performing office administrative duties, providing clerical support to faculty, coordinating graduate student workers, and communicating with students. Minimum qualifications include an associate degree and at least one (1) year of related experience. Professional licensure in a healthcare field is recommended. Applicants must be proficient in use of Microsoft Office Suite including Word, Excel, and Outlook calendar management. Ideal applicants must also possess excellent interpersonal and written communication, organizational, and time management skills. Essential Responsibilities include but are not limited to: Performs office administrative duties:
  • Manages files and electronic data for all current faculty and students (e.g., network files, student files, etc.)
  • Assists department chair in routine and special communication with current students and faculty (including adjunct faculty and guest lecturers)
  • Supports other administrative activities of the department chair.
  • Reconciles department budgets monthly.
  • Manages departmental requisitions and purchases.
  • Coordinates the preparation of reports for accrediting agencies.
  • Coordinates room scheduling/room reservations and maintains shared room usage calendars within the department.
  • Manages and coordinates departmental special events.
  • Manages equipment and supplies inventories.
  • Monitors and coordinates maintenance services.
  • Coordinates special departmental events as assigned.
  • Oversees management of departmental facilities, physical space, and equipment.
Provides faculty and student support:
  • Supports the day-to-day work of individual faculty and the department as a whole. This includes communicating, organizing and planning activities ordering supplies.
  • Attends faculty meetings, assigned committee meetings, and department retreats. Records and distributes minutes.
  • Assists with faculty needs such as researching, typing, copying, scheduling, faxing, scanning, and proctoring of exams.
  • Provides statistics and data for other reports to department chair and constituents.
  • Assists in updating student handbooks and other student information resources.
  • Coordinates registration activities for current and incoming students.
  • Coordinates with university departments that provide student support (e.g., Registrar's office, Financial Aid, etc.)
  • Monitors and updates departmental websites and other electronic databases.
  • Distributes department information regularly and accurately to current students.
Serves as department liaison:
  • Serves as liaison with other university departments.
  • Communicates regularly with current and potential students in person and electronically.
  • Prepares and distributes information about department accomplishments and activities to internal and external audiences.
Other Duties as Assigned
  • Perform other duties, consistent with the incumbent's skills and qualifications as required by the University in support of the department.

  • Independently performing, organizing, and prioritizing work activities.
  • Excellent verbal and written communication.
  • Create and maintain positive professional relationships with students, staff, faculty, and vendors.
  • Proficient use of computers and related software including Microsoft Office (Excel, Word, Outlook, PowerPoint, etc.).
  • Experience in financial management and reconciling budgets.
  • Ability to work and communicate effectively with a diverse audience.
