ROLE TITLE: Public Safety Office Manager

POSITION REPORTS TO: Director of Public Safety

* Summary of Position

The Public Safety Office Manager will coordinate and oversee administrative functions in the Public Safety office and ensure that the office operates efficiently and smoothly. The Office Manager acts as a transportation coordinator, managing the motor pool and Gator Licenses; manages office operations; maintains key control and parking passes; maintains records and reports in compliance with all applicable regulations; and provides training and support for the Communications Officers. The ability to work in stressful situations and the ability to maintain confidential information is required.

* As Public Safety Office Manager, you will:

* Office Operations - Monitors the Public Safety email account and addresses incoming emails by directing the task to the correct team member. Responds to email inquiries on behalf of the Public Safety Department. Retrieves, classifies, and distributes incoming mail. Orders office supplies. Pays bills and monitors the Public Safety Budget. Assists in maintaining the lost and found by signing in found property and signing out recovered property. Updates Public Safety web pages when necessary. Participates in the job interview process and maintains employee files. Coordinates fire extinguisher inspections with vendors.

* Motor pool - Maintains vehicle maintenance files including but not limited to registration documents, insurance cards, and fuel credit cards. Ensures the vehicles are serviced in a timely manner. Schedules appointments for vehicle service and cleaning. Maintains the motor pool reservation system to ensure the vehicles are dispersed in a fair and equitable manner. Completes billing for motor pool usage.

* Gator License - Ensures Gator License applicants have the proper driving experience, state drivers' licenses, and driving experience to obtain a Gator License. Schedules applicants for practical driving exams. Maintains a list of all Gator Licenses.

* Key Control - Maintains the spare housing keys and ensures the keys are signed out and returned properly. Maintains keys for academic and administrative buildings. Signs out keys to students, contractors, and others as necessary.

* Report Retention and Statistical Entry - Maintains files in accordance with federal and college retention policies. Enters Uniform Crime Statistics on a monthly basis.

* Parking Passes - Orders parking passes and signs for each academic year. Issues parking passes and enters pass holder information into Informer.

* Communication Officers Supervisor - Trains Communication Officers to operate the phone/switchboard, radios, sirens, card access system, and security camera system. Acts as back up Communications Officer when necessary.

* Parking Tickets - Files parking tickets. Ensures parking tickets are billed correctly. Coordinates the appeal process by planning the appeal committee meeting, scheduling the location and notifying the appellants of the meeting time, date, and location. -

* Experience and Qualifications

* Associate's Degree or Bachelor's Degree preferred, but will consider years of relative experience in lieu of preferred degree.

* Must be organized and demonstrate the ability to perform tasks and maintain composure during stressful situations.

* Must have the ability to work well with a diverse group of colleagues and groups.

* High level of customer relations ability

* Ability to multi-task and work in a fast paced, every changing environment

* Ability to work in databases, computer systems, Microsoft Office suites

* Knowledge of security systems a plus.

* YOUR COMPENSATION

New hires are typically brought into the organization at a salary between the range minimum and the salary range midpoint depending on qualifications, internal equity, and the budgeted amount for the role.

The expected hourly starting range for this position is $17.00.
