Overview

The Publication Manager II will provide vital operational support to the Global Scientific Publications (GSP) team. In this role, you'll manage publication projects, including encore abstracts, posters, and slide presentations, ensuring they adhere to established policies and procedures. You'll also play an essential role in vendor and contract management, publication tracking, and cross-functional collaboration.

Key Responsibilities

  • Vendor and Contract Management
  • Create, track, and reconcile vendor contracts and billing, ensuring accuracy in monthly budget forecasts.
  • Train and maintain strong relationships with vendors, including billing timelines, record updates, and health check-ins.
  • Perform invoice analysis and budget reconciliation, identifying cost-saving opportunities through LBE meetings.
  • Financial and Metric Reporting
  • Compile and manage vendor lists, track contract spend, and ensure compliance documentation is up to date.
  • Generate routine and ad hoc financial and budget reports from various data sources.
  • Publication and Congress Support
  • Develop and manage annual congress calendars, including the creation of QR codes for scientific posters.
  • Oversee logistics for poster printing and shipping.
  • Coordinate the encore abstract and poster process to ensure alignment with SOPs, timelines, and congress requirements.
  • Publication Repository and Compliance
  • Maintain and update publication repositories on SharePoint.
  • Work with affiliates to track publication statuses and manage updates to publication plans or trackers.
  • Cross-Functional Collaboration
  • Collaborate with internal teams, such as Finance, Outsourcing, and GSP departments, to support publication routing and approvals.

Qualifications

  • Education:
  • Bachelor's degree (BA/BS) required; preferred focus in Science, Healthcare, Business, or Project Management.

Experience:

  • Minimum of 2 years in data entry, clerical roles, or document reconciliation.
  • Preferred 4+ years in project/process management, publications management, or medical/technical writing.
  • Familiarity with Datavision software and compliance requirements is a plus.
  • Skills and Attributes:
  • Strong organizational, communication, and critical thinking skills.
  • Exceptional attention to detail, capable of managing multiple projects and tight deadlines.
  • Proficient in Microsoft Office Suite, SharePoint, and electronic file management tools.
  • Self-motivated, collaborative, and adaptable in high-stakes environments.
