Pay $18.00 - $22.00 an hour The Purchasing Assistant is responsible to review requisitions, invoices and vouchers, expedite orders, monitor purchasing patterns, review ordering, pricing and inventory of office supplies and other standard merchandise, coordinate merchandise returns, contribute efforts to computerized inventory system, prepare bid documents and open new accounts, establishing terms. Core Responsibilities
- Perform requisition reviews for dates, accuracy and approvals, and maintain control on all purchase vouchers.
- Process daily charges to American Express system and maintain database of all charges and tracking of transmittal forms to the Finance Department.
- Review and monitor prepared invoices, purchasing patterns and usage of goods and services.
- Communicate and work with program site administration to arrange for delivery and pick-up of orders at sites.
- Handle and coordinate all merchandise returns to vendors with sites including complaints on incorrect orders and damaged products.
- Prepare bid documents for large purchases and capital projects for review and resolve problems with vendors, sites and contractors.
- Work with sites to coordinate service calls on malfunctioning appliances and log all calls in on a master tracking spreadsheet.
- Distribution of current vendor catalogs to sites for ordering.
- Maintain an inventory spreadsheet for all agency major appliance purchases for sites.
- Coordination and communication with sites regarding agency's use of pest control vendor.
- Aid in establishment and maintenance of computerized inventory system by department, program and site.
- Communicate with new vendors to open accounts and arrange logistics of how sites will access the vendor account.
- Review ordering, pricing and inventory of office supplies and provide for a reserve supply of other materials as required.
- Match vendor invoices and receipts daily and forward to Finance Department for payment.
- Review, documentation, and service call for agency appliances.
Qualifications
- Associates Degree in Business
- 2-3 years experience.
- Must have a valid NYS Driver's License
