DescriptionWe are in search of a motivated and detail-oriented Real Estate Executive Assistant to serve as the main point of contact for Coughtry Enterprises, LLC/Lifstyl RE. This role will support the daily operations of our high-performing team, assist with listing coordination, and manage various administrative tasks. You will be a key player in keeping the team running smoothly, ensuring that our agents and clients receive top-notch service.Key Responsibilities:
- Calendar & Scheduling Management: Maintain and coordinate calendars for agents and the team, including showings, meetings, and events.
- Event Coordination: Organize team events, marketing activities, and open houses.
- Marketing Materials: Order, design, and manage print and digital marketing materials such as brochures and signage.
- Listing Coordination: Initiate listing files, prepare MLS forms, schedule photos and showings, and handle lockbox and signage orders. Manage listings up until they go under contract.
- Transaction Support: Scan and organize transaction documents, and pass files to the transaction coordinator once under contract.
- Financial Management: Process payments for bills, invoices, and office-related expenses, and ensure agents are reimbursed for office-related costs.
- Agent Onboarding: Facilitate the onboarding process for new agents, including setup, training, and access to company resources.
- Client & Guest Relations: Greet guests at the office and ensure a welcoming atmosphere.
- Community Engagement: Stay plugged into local community events, and serve as an ambassador for Coughtry Enterprises, LLC/Lifstyl RE at various events.

- Tech-savvy with the ability to quickly learn real estate software (Dotloop, MLS, Brivity, Brivity).
- Knowledge of marketing and design principles for creating brochures and materials.
- Self-motivated, accountable, and eager to grow with the company.
Responsibilities•Utilize database to safely keep track of customer records•Keep a balanced record of the broker's business transactions•Schedule meetings, travel itineraries, and any other relevant appointments for broker•Take notes and deliver messages from phone calls, emails, memos or reports to the broker•Adjust to the needs of the real estate office and execute other assistant duties when necessaryQualifications•Excellent communication skills and organizational skills•Prior experience in real estate is a bonus•Experience using word processing programs, spreadsheets and Multiple Listing Service
