Job DetailsLevel Entry Job Location Pawnee Nation of Oklahoma - Pawnee, OK Remote Type N/A Position Type Full Time Education Level High School Salary Range Undisclosed Travel Percentage Negligible Job Shift Day Job Category Admin - Clerical DescriptionPosition Overview: Under direct supervision of the Executive Administrative Assistant, the Receptionist is the face of the Pawnee Nation and is responsible for greeting visitors, answering and routing calls, coordinating incoming and outgoing mail, handling inquiries from the public, and providing clerical and administrative services to the Executive Office. Essential Functions
  • Responsible for greeting and directing visitors to the appropriate department or person;
  • Answers main telephone, screens, and routes calls to appropriate department;
  • Provides administrative and clerical support services to the Executive Office;
  • Process incoming and outgoing mail for all departments including Fed Ex, UPS, deliveries, etc;
  • Responsible for informing the appropriate departments of mail received and sent at their request;
  • Processes all paperwork related to program support, such as Purchase Requisitions, Invoices for Payment, Travel Documents, etc. utilizing Microix system.
  • Responsible for maintenance of bulletin board postings and signage;
  • Manage the varies departments in the administration building appointment schedules;
  • Responsible for ensuring the main area remains clean and professional at all times;
  • Responsible for proper building closure at the end of each day;
  • Maintains confidentiality of all privileged information.
  • Contributes to a team effort and accomplishes related results as required.
  • Performs other duties, as assigned and within the scope of the position.
  • QualificationsEducational Requirements Minimum: High school diploma or GED; Preferred: One (1) year of business school or vo-technical training in Clerical Office Management or Administrative Assistance/Secretarial Science. Experience Requirements Minimum: Six (6) months of clerical experience; Preferred: One (1) year of clerical experience within a tribal government setting. Knowledge, Skills, and Abilities Computer:
  • Proficiency in Microsoft applications, including Word, Excel, Outlook, Power Point, Internet Explorer, etc.
  • Ability to learn Microix software system.
  • Proficiency in the proper use and operation of standard office equipment (fax, copier, telephone, etc.).
  • Ability to type 40 words per minute.
  • Communication:
  • Ability to establish and maintain professional relationships with the Pawnee Business Council, Pawnee Nation employees and tribal members, as well as representatives from external agencies and American Indian tribes.
  • Ability to foster team effort and cooperation with co-workers and supervisors in a professional manner.
  • Skilled in the use of business communications (proper spelling/grammar)
  • Skilled in the use of business arithmetic (accounting, etc.).
  • Miscellaneous:
  • Ability to pass a background screening;
  • Must demonstrate strong organizational skills, with the ability to prioritize;
  • Ability to meet deadlines, adapt to changing priorities, and work well under pressure;
  • Ability to effectively conduct research, analyze information, and interpret data;
  • Ability to analyze situations and adopt appropriate courses of action;
  • Must demonstrate knowledge of modern office methods, practices, and procedures;
  • Ability to maintain confidentiality;
  • Must work independently;
  • Must possess a valid Oklahoma Driver's license and be insurable by the Pawnee Nation's insurance carrier or working toward obtaining a license;
  • Must complete required NIMS certification within 90-day Introductory Period.
  • Physical Demand: While performing the duties of this job, the employee regularly is required to sit; use hands to finger, handle, or feel; reach with hands and arms; and talk or hear. The employee frequently is required to stand; and walk. The employee is occasionally is required to stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 25 pounds. Work Environment: Work is generally performed in an office setting with a moderate noise level. Evening and/or weekend work may be required. There is regular interaction with the public, other agencies, and employees. Tight time constraints and multiple demands from several and multiple demands from several people are common. Travel may be required for training, meetings, conferences, presentations, and other events.
