Job Summary

We are seeking a professional and enthusiastic Receptionist to join our team. The ideal candidate will be the first point of contact for clients and visitors, providing a warm and welcoming atmosphere. This role involves managing the front desk, maintaining the foyer and waiting areas, and supporting the team with various administrative tasks. The Receptionist will ensure smooth daily operations and contribute to a positive office environment.

Primary Responsibilities

  • Greet and Assist Visitors: Welcome clients and agents in a polite and timely manner, direct them to waiting areas, and communicate with them as necessary.

  • Maintain Foyer and Waiting Areas: Keep these areas presentable and stocked, including unlocking front doors, turning on lights and TV, adjusting the thermostat, and preparing agent offices.

  • Answer and Manage Phone Calls: Respond to incoming calls, determine caller identity, take detailed notes, and transfer calls appropriately.

  • Daily Preparation and Cleanliness: Check voicemail, schedule calls and tasks, familiarize with daily meetings and absences, and prepare for client/agent appointments. Maintain cleanliness by picking up trash, sanitizing surfaces, and dusting.

  • Administrative Support: Manage calendars, remind team members of meetings, assist with projects, and perform other duties as assigned.

  • File Management: Check and clear scan folders, rename and relocate files to appropriate locations.

  • End-of-Day Procedures: Lock front doors, turn off lights and TV, and ensure the foyer is secure.

  • Communication Skills: Excellent written, verbal, and interpersonal communication skills.

  • Attention to Detail: Strong organizational skills and attention to detail.

  • Time Management: Ability to manage time effectively and meet deadlines.

  • Professionalism: Dress professionally and maintain confidentiality.

  • Problem-Solving: Ability to solve problems independently without constant supervision.

  • Technical Proficiency: Proficient in Microsoft Office Programs (Outlook, Excel, Word).

  • Experience: At least 1 year of experience in a professional office setting is preferred.

  • Education: High School Diploma required.
