Job Description:
Reports To: Senior Human Resources Manager Primary Function: Greet visitors and clients and handle all incoming deliveries and manage incoming telephone calls for Thalhimer main phone number.Education: Minimum of two years work related experience.Qualifications: Professional telephone manner and customer service experience as well as experience with high-volume, multi-line computerized telephone system. Responsibilities:
  • Answer all incoming telephone calls and handle as required (transfer or place in voice mail) between the hours of 8:00 AM and 5:00 PM.
  • Greet clients and visitors and make sure they reach their proper destination, while maintaining security within the office (requires visitors not to leave the lobby area unassisted).
  • Follow proper procedures daily for opening and closing switchboard.
  • Open unidentified mail and forward to proper departments as needed.
  • Process mailers (fold and stuff envelopes) as needed.
  • Monitor scheduling of all conference rooms, as needed.
  • Maintain janitorial request schedule (notebook).
  • Stamp and sort vendor bills.
  • Maintain reception desk and lobby appearance as well as conference rooms (chairs in place, remove any miscellaneous items left from meetings, etc.). Responsible for TV's and Lights in Conference Rooms and lunchroom (on and off daily). Verify phones are charging daily.
  • Check info@thalhimer daily.
  • Assist Accounting with the following tasks:
  • Entering the Edit Reports on Spreadsheet Monthly.
  • Separate Rent Coupons and mail monthly for Accounting
  • Assist with Commercial Rents when needed. Opening, Date Stamping, and writing the name of the company on all envelopes.
  • Mail late letters and rental increase letters
  • Update certificate of insurance letters for tenants
  • Add labels on folders monthly
  • All other tasks and duties as assigned, with dates to be agreed upon.
