In addition to managing the reception area, this position will play a pivotal role in coordinating building events, addressing facilities needs, and providing assistance to employees and visitors.ResponsibilitiesFront Desk Management:
- Greet and welcome visitors, tenants, and guests in a friendly and professional manner.
- Manage incoming calls, emails, and inquiries, directing them to the appropriate departments or individuals.
- Maintain a tidy and organized reception area, ensuring a welcoming atmosphere.
Experience Enhancement
- Proactively anticipate and address the needs of visitors and tenants to ensure a positive experience.
- Act as a resource for information regarding building amenities, services, and local attractions.
- Handle guest requests and inquiries promptly and effectively, going above and beyond to exceed expectations.
Event Coordination
- Coordinate and assist with the planning and execution of building events, including meetings, workshops, and social gatherings.
- Liaise with tenants and external vendors to arrange catering, equipment rental, and other event logistics.
- Ensure events run smoothly by providing on-site support and addressing any issues that may arise.
Facilities Management
- Monitor and address building maintenance and facilities issues, promptly reporting any concerns to the appropriate channels.
- Assist with scheduling and coordinating maintenance and repairs as needed.
- Conduct regular inspections of common areas to ensure cleanliness, safety, and functionality.
Guest Services
- Shepherd guests to their destinations within the building, providing directions and assistance as needed.
- Assist tenants and guests with reservations, transportation arrangements, and other concierge services.
- Maintain a high level of professionalism and discretion when handling sensitive information or situations.
Qualifications Education/Experience
- High school/GED required
- Previous experience in a customer service or hospitality role preferred
Additional Qualifications (Knowledge, Skills and Abilities)
- Proficiency in Microsoft Office Suite and other relevant software applications.
- Excellent verbal and written communication skills, including superior composition, typing and proofreading skills.
- Ability to interpret a variety of instructions in written, oral, diagram, or schedule form
- Ability to successfully manage multiple tasks simultaneously
- Excellent planning and organizational ability
- Ability to work as part of a team as well as independently
- Ability to work with highly confidential information in a professional and ethical manner
