A law firm based in Downtown LA is seeking a Receptionist to join their team. The ideal candidate will be responsible for managing front desk activities, ensuring smooth operations, and providing exceptional client service. This role is crucial for maintaining a positive and efficient work environment, as you will handle phone calls, greet clients, and assist with various administrative tasks.
Key Responsibilities:
- Greet and welcome clients and visitors with a warm and professional demeanor. Handle inquiries and direct clients to appropriate staff members.
- Answer, screen, and forward incoming phone calls; take messages and provide basic information to callers when appropriate.
- Manage the firms appointment schedule, including coordinating conference room bookings and notifying attorneys of client arrivals.
- Sort and distribute incoming mail, manage outgoing mail, and handle deliveries or courier services.
- Assist with filing, data entry, and document preparation as needed. Provide general administrative support to attorneys and staff.
- Maintain a clean and organized reception area, order office supplies, and ensure the office environment is welcoming and presentable.
- Assist with scanning, photocopying, and organizing legal documents, ensuring confidentiality and proper handling.
Qualifications:
- Previous experience as a receptionist or in an administrative role, preferably in a legal or professional services environment.
- Excellent communication and interpersonal skills; proficiency in Microsoft Office (Word, Excel, Outlook) and familiarity with legal software is a plus.
- Strong multitasking abilities, attention to detail, and the ability to manage time effectively.
- Positive attitude, professional appearance, and the ability to maintain confidentiality.
Compensation:
$22-$25/hr.
