Join KARLSTORZ as a Front Office Assistant and become the welcoming face of our company As the first point of contact for visitors, you will play a pivotal role in creating a professional and inviting atmosphere. This position offers an exciting opportunity to contribute to a variety of functions including visitor management, employee support, and administrative tasks, while working closely with our Manager of Facility & Equipment Maintenance to ensure a safe and efficient workplace. Key Responsibilities: Visitor and Call Management: Greet all visitors, manage their check-in process, and handle a multi-line phone system with professionalism and efficiency. Facility and Employee Support: Coordinate conference room bookings, assist with IT tickets, manage office moves, and ensure all facilities are well-maintained. Provide support for onboarding processes and other administrative tasks as needed. Administrative Duties: Maintain check-in systems, issue Wi-Fi credentials, assist with Service Awards, and support business continuity management. Safety and Quality Compliance: Ensure adherence to safety protocols and report violations. Follow ISO and FDA quality system requirements to maintain a high standard of operations. What You Need to Succeed: Education: High School Diploma or equivalent required; Associate degree preferred. Experience: 1-3 years in administrative or office support roles, ideally in high-traffic environments. Skills: Proficiency in Microsoft Office Suite, SAP, SharePoint, and multi-line phone systems. Strong communication and organizational skills, with a positive attitude and ability to handle multiple tasks efficiently.
